REGENT CHRISTIAN ACADEMY SOCIETY

Position Title: Administrative Assistant / Department Support (CSJ Program)

Regent Christian Academy Society serves children and families across our campus schools, online school, and early learning programs. We focus on strong academics, whole-child development, and a Christ-centred environment where students grow in character and purpose. Our teams work hard, care deeply, and move fast to support a growing and dynamic school community.

Reports to: Department Manager

Overview: A short-term summer role providing essential clerical support to the school office. This position is designed for a young professional or student looking to gain experience in office administration and school operations.

Key Responsibilities: Perform clerical duties including photocopying, preparing mail-outs, and precise data entry. May need to support operations by handling phone inquiries and warmly greeting visitors if required.

HR & Finance Support:

HR Archiving & Documentation: Assist with sorting, audits, and digital organization of confidential personnel files and onboarding documents for the upcoming school year.
Financial Data Entry: Assist the finance team with basic data entry, digital receipt organization, and sorting invoices.
Inventory Auditing: Assist in verifying internal school office supplies, forms, and resource records.

Marketing Support:

Asset Management: Help organize digital marketing files, photo archives, and promotional resources.
Content & Preparation: Assist in drafting basic digital communications or formatting parent newsletters and community updates.
Event & Campaign Prep: Support logistical preparation for late-summer/early-fall marketing materials and campus orientation packages.

Start Date: Summer Period

Head Count: 2, Important: This position is split into two distinct streams (1 to support HR & Finance, 1 to support Marketing). Applicants should specify their stream of interest in their application.

Job Type: Full-time (Temporary Summer Contract)

FTE: 35 hours per week

Work Location: Sullivan Campus

Rate: CA $19.85 hourly

Requirements and Qualifications:

HR & Finance Support:

Discretion & Confidentiality: Absolute reliability when handling sensitive personal and financial data.
Numerical Accuracy: Strong attention to detail with data entry and basic spreadsheet functions.
Technical Literacy: Intermediate proficiency in Microsoft Excel (data sorting, formulas) and Outlook.

Marketing Support:

Creative Communication: Strong written skills with a professional, engaging tone.
Visual Organization: Detail-oriented with file management, naming conventions, and asset curation.
Digital Adaptability: Basic familiarity with cloud storage systems (such as OneDrive or Google Drive) and formatting tools.

Canada Summer Jobs (CSJ) Program Mandatory Eligibility:

Be between 15 and 30 years of age at the start of employment.
Be a Canadian citizen, permanent resident, or person to whom refugee protection has been conferred under the Immigration and Refugee Protection Act.
Have a valid Social Insurance Number (SIN) and be legally entitled to work in Canada. (Note: International students are not eligible for CSJ program).
