Position Summary

We are seeking a motivated, energetic, and organized Medical Office Administrator to join our dynamic team. The ideal candidate thrives in a fast-paced clinic environment, excels in communication, and demonstrates genuine care for patients and colleagues alike.

This position is ideal for individuals looking to make a meaningful impact in healthcare while contributing to a supportive, academic medical setting.

Key Responsibilities

As a front-line representative of our clinic, you will play a vital role in ensuring smooth patient flow and operational efficiency. Responsibilities include, but are not limited to:

Greeting and assisting patients in person and over the phone with professionalism and empathy.
Booking, confirming, and rescheduling appointments using our electronic medical record (EMR) system.
Managing incoming and outgoing faxes, scanning documents, and maintaining accurate patient records.
Coordinating referrals, specialist appointments, and diagnostic tests.
Supporting patient flow and clinic efficiency throughout the day.
Handling confidential information in accordance with PHIPA regulations.
Communicating effectively with physicians, nurses, residents, and other team members.
Performing general administrative tasks such as data entry, filing, and mail handling.
Assisting in special projects and process improvements as needed.

Qualifications

Previous experience in a medical or clinical environment (not mandatory).
Experience using EMR (an asset).
Strong computer literacy (Microsoft Office, Outlook, and general digital tools).
Excellent verbal and written communication skills.
Strong organizational skills and attention to detail.
Ability to multitask effectively in a fast-paced, team-oriented environment.
