We are seeking a professional, energetic, and highly organized Front Desk Receptionist & Client Experience Coordinator to join our growing team. This role is ideal for an individual who thrives in a fast-paced healthcare environment and is passionate about delivering an exceptional patient experience from the moment clients walk through our doors.
As the first point of contact for patients, you will play a critical role in creating a welcoming atmosphere, ensuring efficient clinic operations, and maintaining the highest standards of patient care and customer service. The successful candidate will possess outstanding communication skills, exceptional attention to detail, strong observational abilities, and the capacity to effectively manage a high volume of patients while maintaining professionalism and accuracy.
Experience in a multidisciplinary healthcare clinic or dental office is considered an asset.
Schedule Requirements
Successful candidates must be available to work a combination of:
- Day shifts: 8:30 AM – 3:00 PM
- Evening shifts: 2:30 PM – 8:00 PM
- Saturdays: 9:30 AM – 6:00 PM
Please note that we are seeking a long-term team member. This is not a summer position. The role will begin as a contract position with the opportunity to transition into a permanent position based on performance and business needs.
Key Responsibilities
- Oversee the administration of daily clinic operations and ensure smooth patient flow throughout the day.
- Greet patients warmly and professionally, creating a positive and welcoming experience.
- Schedule and coordinate appointments with the goal of maximizing clinic efficiency while providing exceptional patient care.
- Deliver an outstanding level of customer service through professional interactions with patients, practitioners, and team members.
- Educate patients on clinic services, treatment options, and the benefits of various modalities.
- Manage incoming phone calls, emails, and patient inquiries promptly and professionally.
- Maintain accurate patient records and organize intake documentation for electronic filing.
- Coordinate with insurance providers and referring healthcare offices regarding treatment notes, diagnostic reports, and release-of-information requests.
- Assist the Owner and/or Director in supporting clinic growth, maximizing revenue opportunities, and controlling operational expenses.
- Ensure clinic compliance with health and safety policies and procedures.
- Assist with merchandising, inventory management, and maintaining adequate clinic supplies.
- Support clinic marketing initiatives through social media engagement, photography, video content creation, and posting approved content.
- Demonstrate initiative by proactively identifying tasks and contributing to clinic operations during slower periods.
- Maintain clinic cleanliness, organization, and laundry duties.
- Open and close the clinic, ensuring security procedures are followed.
- Manage client files and confidential information in accordance with privacy regulations.
- Perform additional duties as assigned by the Owner and/or Director.
Qualifications & Requirements
- Office Administration training or equivalent experience required.
- Kinesiology background considered an asset.
- Previous experience in a multidisciplinary healthcare clinic and/or dental office preferred.
- Demonstrated ability to provide exceptional customer service in a high-volume, fast-paced environment.
- Strong attention to detail, observational skills, and commitment to accuracy.
- Proven ability to multitask, prioritize responsibilities, and manage time effectively.
- Outstanding organizational, interpersonal, and communication skills.
- Professional, empathetic, and patient-focused approach to client interactions.
- Ability to remain calm, efficient, and solution-oriented under pressure.
- Strong written, verbal, and electronic communication skills.
- Highly proficient with Microsoft Office Suite (Word, Excel, Outlook).
- Reliable attendance, punctuality, and dependability are essential.
- Ability to work collaboratively within a team environment.
- Flexibility to cover additional receptionist shifts when required due to vacations, illness, or other scheduling needs.

Pay: $20.00-$22.00 per hour
