Full job description

Position Overview

The Program Coordinator is the primary administrative resource for academic operations and the first point of contact for student inquiries. Reporting to the Campus Director, this role is responsible for the day-to-day coordination of program administration, student records, schedules, instructor compliance, accreditation documentation, and communication between faculty, students and cross-departmental communication to support students throughout their academic lifecycle at MCG Career College.

Key Responsibilities

1. Administrative Excellence

Manages program documentation, student records, and operational processes with accuracy and attention to detail.
Maintains compliance with institutional policies and applicable regulatory requirements.
Prioritizes effectively in a fast-paced environment with competing demands.
Monitor program Inboxes, respond timely and appropriately, escalate issues to Campus Director where necessary.
Process program-related paperwork, withdrawals, leaves of absence, etc. effectively and efficiently notifying other departments as required.

2. Student-Centred Support

Serves as the first point of contact for students' inquiries and concerns.
Proactively identify at-risk students and initiate timely outreach and support referrals.
Contributes to a welcoming, inclusive environment where all students feel supported.

3. Communication and Collaboration

Drafts clear, professional student-facing communications.
Partners effectively across departments including Student Services, the Registrar's Office, and IT.
Handles sensitive and confidential information with discretion and sound judgment.
Support monthly orientation sessions, graduation ceremonies, etc.

4. Systems and Technology Proficiency

Navigates student information systems (SIS), learning management systems (LMS), and exam proctoring platforms with confidence.
Maintains data integrity and supports audit readiness across institutional systems.
Comfortable learning and adapting to new platforms as needed.

5. Assessment and Academic Integrity

Reviews exam proctoring reports and flags concerns in accordance with institutional policy.
Supports faculty and Campus Director with exam scheduling, accommodations, and rescheduling processes.
Upholds academic integrity standards across all program activities.

6. Continuous Improvement and Reporting

Prepares routine reports, rosters, and checklists to support program planning and operational decisions.
Contributes to file audit readiness and data integrity across student information systems.
Identifies gaps and proactively proposes improvements to processes and student communications.

Key Responsibilities

Monitor department email inboxes and communication channels; triage, respond, and escalate to Campus Director as appropriate.
Process program-related paperwork including admissions changes, leaves of absence, withdrawals, and course add/drop requests with accurate routing and record-keeping.
Maintain organized, compliant student files in alignment with institutional and PVTA regulatory requirements.
Review online proctoring dashboards and exam integrity reports; document and escalate concerns per policy.
Liaise with the Registrar's Office on timetables, room bookings, instructor assignments, and scheduling.
Track student attendance, academic standing, and conduct indicators and flag at-risk students to Campus Director.
Draft and send ongoing student communications covering deadlines, events, expectations, and program updates.
Support orientation, events, workshops, graduation, and practicum coordination in partnership with Student Services.
Coordinate referrals for advising, counselling, accessibility, and career support.

Qualifications

Diploma or Bachelor's degree in administration, education, or a related field, or an equivalent combination of education and experience.
1 to 3 years of administrative coordination experience, preferably in a postsecondary or private career college setting.
Experience with student information systems, learning management systems, and/or exam proctoring platforms is an asset.
Proficiency in Microsoft 365 and demonstrated ability to learn new systems
Strong written and verbal communication skills with experience drafting professional correspondence.
