Full job description

Your Opportunity:

Working under the general supervision of the Clerical Supervisor and Managers, the Casual Admin Support IV (Procedure Booking Clerk’s) primary responsibility is to facilitate organized and efficient service to patients accessing outpatient Gastroenterology & Hepatology Services by acting as a liaison between Patients, Physicians, Registered Nurses and other Outpatient departments. This involves the ongoing coordination of clinic appointments and tests and communicating with patients regarding clinic appointments and procedural preparation. The Admin Support IV collaborates with patients and Physicians and communicates with all members of the multi-disciplinary team and other inpatient/outpatient departments. Duties include booking and confirming clinic appointments, scheduling procedures on the Endoscopy Unit, processing Physician orders, scheduling diagnostic tests, retrieving various results and reports, providing appropriate verbal and written patient education and performing other duties as required. Additional opportunities to cross train for other Admin Support IV roles including Clinic MOA, and Endoscopy Unit Clerk may also be available within role. Shifts are 7.75 hours, Monday to Friday between 0800-1700 and may change to meet operational requirements.

Required Qualifications:

Some post-secondary education.

Additional Required Qualifications:

Completion of MOA/Unit Clerk certification or post-secondary education in another related field such as business administration required. One to two years in medical clerical position required. Minimum one year in outpatient/ambulatory setting required. Experience booking appointments, tests and procedures required. Extensive experience and competence with multiple computer systems required including MS Word, Excel, and Teams. Accurate keyboarding required (at least 50 words/minute). Attention to detail and the ability to multi-task required. Ability to adapt to changing/expanding environment required. Excellent English verbal and written skills required. Ability to work with frequent interruptions in a busy environment required. Ability to foster positive interpersonal and communication skills with health care providers, allied health care professionals, peers, departmental management and other individuals in a professional manner required. Ability to work with minimal supervision, prioritize, problem solve and handle frequent interruptions required. Ability to use sound judgment and analytical skills using a high degree of accuracy to make decisions required. Experience with office equipment, such as fax, right fax, photocopier, and multi-line telephones required.

Preferred Qualifications:

Recent experience working in gastroenterology with knowledge of relevant terminology, tests and procedures strongly preferred. Experience with Netcare and Connect Care strongly preferred. Experience with release of Information and health records management preferred.
