Job Summary: Under the direction of the Manager, Admissions, the incumbent is responsible for the adjudication of applications, primarily from domestic applicants (Canadian citizens and permanent residents), to undergraduate programs at the university in accordance with institutional admissions policies and enrolment objectives. This includes interpreting admissions criteria, evaluating domestic and international transcripts, and reviewing supporting documentation in order to make fair and consistent decisions in a timely manner. The Admissions Officer is also
responsible for assisting with transfer credit evaluations for students who have completed courses at other postsecondary institutions, in consultation with the university’s academic units.
Responsibilities/accountabilities:
1. Application Adjudication:

Manages a detailed admissions portfolio, working alongside senior members of the team to ensure continuity of process and policy

Works closely with the university student information system and other relational databases that manage student admission and transfer credit records

Assists with the assessment of post-secondary credentials for transfer credit and institutional mobility

Remains current with trends and issues in admissions and enrolment management through professional development and other activities

Sets standards of service based on data and consultation with clients and documents work processes
2. Internal and External Communication:
-
Responds to all internal and external inquiries providing detailed and accurate information utilizing an array of mediums; phone, online video conference and email

Advises and counsels prospective students, applicants, parents, teachers, and guidance personnel about programs, courses, admission requirements and general aspects of university life

Communicates to ineligible applicants, and advises on how to strengthen their application for the current or future term
3. Document Processing and Email Triage:

Assists with processing electronic admissions documentation submitted through a variety of means including: the document upload tool located on the university’s admissions website and the Ontario Universities’ Application Centre’s Secure Applicant Messaging (SAM) tool

Assists with triaging emails received via the centralized admissions inboxes and assigning them to the appropriate Admissions Officer
4. Recruitment and Outreach:

Assists with recruitment activities such as the Ontario Universities’ Fair, open houses, welcome events, March Break week, guidance events, etc.

Required Education:
-
Completion of a Formal Post-Secondary/College Program of Two Academic Years or Equivalent

Completion of undergraduate university degree strongly preferred
- Verification of Academic credentials may be required
Required Experience:
-
1 to 3 years working in a post-secondary administrative unit
-
Experience using a student information system is an asset

Preference will be given to candidates with demonstrated experience in admissions file adjudication, including reviewing applications, assessing documentation, and ensuring compliance with institutional policies and admission requirements
Knowledge:
-
Understanding of Canadian and international secondary and post-secondary curricula.

Working knowledge of student information systems (Banner) and relational databases
-
Knowledge of the Freedom of Information and Protection of Privacy act (FIPPA) and other university privacy protection policies and procedures.

Knowledge of all university programs, student support services and success strategies
