Rescue Solutions International Inc. ("RSI") is a global leader in the manufacture and supply of specialized rescue, marine, tactical, and safety equipment that has recently expanded operations to include a new international manufacturing and distribution facility in Vancouver, B.C.

With a 27-year track record, we design and manufacture unique, proprietary, intrinsically safe, and non-lethal line throwers, vessel interdiction systems, and tactical operations equipment used by Search & Rescue, Law Enforcement, Commercial Marine, Industrial, and Military organizations worldwide. Our company has established relationships in 70 different export markets around the globe.

We are seeking a highly organized, detail-oriented, and proactive Accounting & Office Administrator to support operations at our new facility located in the industrial heart of south Vancouver.

Position Overview

Reporting directly to senior leadership, the Accounting & Office Administrator is responsible for a broad range of accounting, administrative, and office support functions.

The ideal candidate is a self-starter who enjoys working independently and takes pride in maintaining accuracy, professionalism, and operational excellence while supporting team efforts.

This position plays a critical role in ensuring efficient business operations through accurate financial administration, payroll processing, customer support, and office coordination.

Key Responsibilities

Accounting & Finance

Prepare and process customer invoices accurately and in a timely manner.
Manage accounts receivable; including payment tracking, collections, and customer account reconciliations.
Manage accounts payable; processing vendor invoices matched to packing lists and Purchase Orders
Processing material procurement through RFQ’s and writing purchase orders.
Maintain accurate accounting records and supporting documentation.
Assist with month-end and year-end financial reporting and audits.
Monitor cash flow activities and identify discrepancies for resolution.
Support budgeting, forecasting, and financial reporting requests.

Payroll & Human Resources Support

Support employee onboarding, benefits administration, and related documentation.
Coordinate with external payroll, benefits, and accounting providers as required.

Office Administration

Coordinate daily office operations and administrative activities.
Manage incoming calls, emails, mail, and visitor inquiries professionally and efficiently.
Maintain organized electronic and physical filing systems.
Ensure office supplies, equipment, and vendor relationships are effectively managed.
Support management with administrative matters as needed.
Assist with preparation of import and export shipping documents.
Assist with printing of materials as required.

Systems & Process Improvement

Identify opportunities to improve administrative and accounting processes.
Utilize digital tools and AI-assisted technologies to enhance productivity, accuracy, and reporting.
Maintain data integrity across accounting, payroll and operational systems.
Assist with documenting and implementing standard operating procedures.

Qualifications

Required

Experience in accounting, bookkeeping, finance administration, or office administration.
Strong knowledge of accounts payable, accounts receivable, bank reconciliations, and billing processes.
Proficiency with accounting software and Microsoft 365 applications, including Excel, Outlook, Word, and Teams.
Excellent organizational skills with the ability to manage multiple priorities and deadlines.
High attention to detail, accuracy, and confidentiality.
Strong written and verbal communication skills.
Ability to work independently while collaborating effectively with a team.
Knowledge of ERP, inventory, or production systems.

Preferred

Experience with accounting software.
Post-secondary education in Accounting, Finance, Business Administration, or a related discipline.
Experience supporting a small-to-medium-sized business in a multi-functional role.
Familiarity with AI-powered workplace tools and the responsible use of AI technologies.
