Science Office for Undergraduate Student Advising (SOUSA)
The Opportunity:
Reporting to the Associate Director Academic Advising, the incumbent provides individual and group advising to undergraduate students in the Bachelor of Arts and Science (B.A. & Sc.) program on a wide range of student-related and academic matters. The role supports students in pursuing their educational goals and ensures they benefit fully from their University experience by assessing student academic progress and supporting students making appropriate educational choices and decisions.
Primary Responsibilities:
Advising:
Provides individual and group advising to B.A. & Sc. undergraduate students on overall degree requirements and academic matters, including registration, course withdrawal, deferred and supplemental exams, readmission, interfaculty transfer, study away, and academic standing.
Authorizes academic course selection for the Foundation program. Evaluates records of advisees regarding the completion of their Foundation program.
Plans and develops preventive outreach programs for newly admitted students, students in poor academic standing, international students.
Plans, prepares, and presents workshops designed to assist students who wish to plan a study abroad, apply for interfaculty transfer, select their degree program, work after graduation, apply for graduate schools.
Provides information and guidance regarding advanced standing and transfer credits. Evaluates transfer credits and equivalencies.
Evaluates student requests for exchange programs and study away options.
Evaluates requests for readmission and interfaculty transfer. Reviews applications submitted by student, researches student’s records and makes decisions on complex cases. Assesses files, contacts students and advises them of results. Proposes options to students who are refused.
Follows up with students who are in probationary or readmitted unsatisfactory standing to monitor their progress and provide further advice when necessary.
Advises students regarding appeal process on the basis of extenuation circumstances and informs students of decisions made by the B.A. & Sc. Director related to their file. Determines if it is necessary for student to meet with B.A. & Sc. Director or Associate Dean.
Prepares files and all background information in more complex or problematic cases for the B.A. & Sc. Director’s consideration.
Selects and recommends candidates for graduation, special certification, in-course awards and special designation at graduation. Evaluates student files for graduation eligibility.
Outreach and Stakeholder Engagement:
Participates in University orientation, McGill Open House and other recruiting events.
Plays a key role in planning and reviewing annual recruiting strategies.
Develops contacts with student organizations. Solicits cooperation and participation of student representatives in advising and recruitment activities, such as workshops, workshops for in-course students, McGill recruitment visits, Open House, Discover McGill, etc.
Program and Curricular Support:
Actively involved in the review and updating of program curricula and of specific procedures related to student affairs and recruiting, with degree committee and B.A. & Sc. Director.
Primary contact for students and Instructors to provide feedback both on academic and administrative issues. Advises and works with Director and Associate Dean to resolve them.
Actively involved in the development, restructuring and implementation of academic programs.
Administrative Support:
Handles requests for information on policies and procedures (in person, by email, letters or by telephone) from staff, students and representatives from other universities.
Handles scheduling and administrative work associated with the degree committee. Completes and submits documents/forms on behalf of B.A. & Sc. Director in relation to academic updates and changes to degree and foundation program requirements.
Reviews and updates publications, reference guides and supporting materials.
Responsible for B.A. & Sc. advising web content, administers and maintains degree web pages.
Compiles statistics and data regarding undergraduate students as requested by B.A. & Sc. Director.
Reviews and updates Course Catalogue entries on behalf of the B.A. & Sc. Director.
Oversees and plans for special events.
May oversee the hiring of casual staff for peak periods.
Undertake special projects as assigned.
Your Qualifications:
Education: Bachelor’s degree in a related field (e.g., Education or Counseling); Master’s degree considered an asset.
Experience: Experience in academic advising, academic policy, student services, or a related field, preferably in a higher education setting.
Your Strengths:
Bilingual; excellent verbal and written communication skills, in both English and French.
Proven ability to interpret academic regulations and policies, evaluate academic records, and support informed student decision‑making.
Excellent interpersonal and communication skills to engage effectively with students, faculty, and staff.
Demonstrated ability to advise undergraduate students on complex academic matters, exercising sound judgment, discretion, and sensitivity.
Strong relationship-building skills and empathy, with the ability to build rapport with diverse student populations and support student success.
Excellent organizational and time‑management skills, with the ability to manage multiple student files, deadlines, and priorities.
Ability to work collaboratively within a team environment while also acting independently and taking initiative.
Proactive, solution‑oriented approach to identifying student concerns, including sensitivity to the needs of international students and a commitment to equity, diversity, and inclusion.
Experience using student information systems (e.g., Banner, Minerva) and proficiency with the Microsoft Office Suite.
