Job Description

The Procurement Specialist is accountable for collaborating with different stakeholders to facilitate the procurement process by assessing needs, gathering requirements, guiding vendor selection, and lastly purchasing required inventory and assets for both CT&V & WFE. This role builds vendor relationships to secure the best prices on products for CT&V. The Procurement Specialist reports to the Director of Business Processes and hours of work are from Monday to Friday 8:00am to 4:30pm.

Job Duties:

Monitor the Procurement mailbox daily, responding to all emails within 30 minutes and organizing folders.
Work in partnership with stakeholders to understand their purchasing requirements and turnaround times to issue a request for quote (RFQ).
Continuously source and evaluate vendor options for current and future purchases, and obtain vendor quotes and submit purchase order requests.
·ssess and present vendor quotes/RFQs to the approval manager.
Negotiate price and terms with vendors and partners to achieve best value within the timeframe required.
Generate purchase orders by entering contracts and quotes into the Sage system.
Manage day-to-day actions in ToolWatch (inventory and assets), including creating and modifying lookups (sites, locations, vendors, customers), creating new inventory items, creating orders, and updating inventory items with vendor information and costs.
Maintain the CT&V Inventory Asset Listing, updating vendor information, costs, and other inventory/asset details.
Manage inventory levels based on ToolWatch minimums and project requirements, running inventory reports and working with the Equipment Manager on approval for any purchases.
Responsible for receiving orders, inspecting deliveries for damage or discrepancies against packing slips/invoices, and ensuring orders arrive on time and match to order.
Arrange for shipping and receiving and organize and file all related documents (paper and digital), including bills of lading and packing slips.
Fulfill project orders in conjunction with the Project Manager.
Support estimation by providing accurate and timely input on material and vendor selection.
Identify goods and services the company requires on a monthly basis.
Arrange hot shots, provide direction to the driver, and track daily usage.
Establish and maintain relationships with vendors, external and internal stakeholders.
Ensure the asset and inventory systems (ToolWatch) are being used to track all items and upload required paperwork.
Partner with quality department to ensure ISO/API paperwork is maintained for applicable vendors.
Complete/coordinate the annual inventory count.
Ensure housekeeping is kept up daily (shop storage area is clean, items are put away, desk is clear, files are put away).

Qualifications:

Strong comprehension of procurement processes, an asset.
Experience with an inventory management system, an asset.
Effective communication skills (listening to and following instructions, conveying information to stakeholders).
Previous experience with a construction or shop environment, an asset.
Strong computer skills (SharePoint, Adobe PDF, Excel, Word, Sage).
Strong organizational skills and ability to prioritize tasks.
Ability to follow processes and adhere to safety standards.
Strong work ethics and positive team attitude.
Proficient problem-solving abilities.
Able to recognize and apply patterns (e.g., following existing file naming conventions) with strong attention to detail.
Must be resourcefull and capable of performing well under pressure and within tight deadlines and managing multiple requests.
Willing to learn and grow with the company.
