Job Overview

We are Saskatchewan's largest Control & Automation contractor and we are seeking a dynamic and highly organized Office Administrator to join our team! In this vital role, you will be the backbone of our daily operations, ensuring that administrative functions run smoothly and efficiently. Your energetic approach and attention to detail will help foster a productive work environment, support team collaboration, and enhance overall office performance. This position offers an exciting opportunity for someone with a passion for organization, excellent communication skills, and a knack for multitasking in a fast-paced setting.

Duties

Manage front desk operations, including greeting visitors, answering multi-line phone systems, and providing exceptional customer service
Perform data entry tasks accurately using Microsoft Office applications, Google Workspace, and QuickBooks for bookkeeping and record-keeping purposes
Maintain organized filing systems—both electronic and paper—to ensure quick retrieval of documents and compliance with record retention policies
Support administrative functions such as scheduling appointments, coordinating meetings, and managing calendars
Assist with billing, invoicing, and basic bookkeeping using QuickBooks or similar software to ensure financial accuracy
Provide customer support by addressing inquiries professionally via phone or email, demonstrating excellent phone etiquette and customer service skills
Conduct proofreading of documents, correspondence, and reports to ensure clarity and professionalism

Skills

Proven experience with office administration or clerical roles, including data entry and filing systems
Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Docs, Sheets), and QuickBooks
Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment
Experience working at a front desk or handling multi-line phone systems with professionalism and courtesy
Knowledge of mechanical and electrical systems is a plus; familiarity with a mechanical or electrical contractor experience is advantageous.
Customer service orientation with strong communication skills and proper phone etiquette
Ability to handle sensitive information discreetly while maintaining confidentiality
