Full job description

Job Overview
We are seeking a professional and organized Receptionist/Administrative Assistant to join our team. This role is vital in ensuring smooth daily operations, providing excellent customer service, and supporting administrative functions within our office environment. The ideal candidate will have strong clerical skills, proficiency in office software, and the ability to handle multiple tasks efficiently. Experience with medical or dental offices is a plus, but not required. This position offers an opportunity to contribute to a dynamic team while developing valuable administrative skills.

Responsibilities

Greet visitors and answer multi-line phone systems with professionalism and courtesy
Manage front desk operations, including scheduling appointments and directing calls
Perform data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooks as needed.
Maintain organized filing systems both electronically and physically
Assist with administrative duties such as proofreading documents, organizing files, and managing correspondence
Support customer service efforts by addressing inquiries promptly and professionally
Handle billing (MVA, WSIB, Bluecross, etc.) and bookkeeping tasks related to office operations
Ensure the office remains tidy, organized, and welcoming for clients and staff

Qualifications

Proven clerical or administrative experience with strong organizational skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
Excellent computer skills with the ability to learn new software quickly
Strong data entry skills with high accuracy and attention to detail
Exceptional phone etiquette and customer service skills across multi-line phone systems
Ability to handle multiple priorities efficiently in a fast-paced environment
Previous experience in medical or dental offices is a plus but not required
Strong organizational skills with the ability to proofread documents accurately
Demonstrated ability to support front desk operations and perform clerical tasks effectively

Pay: $19.00-$22.00 per hour
