Full job description

JOB PURPOSE

The position is responsible for contacting customers coordinating and tracking shipments to ensure product is shipped and received efficiently and within time commitments.

PRINCIPAL ACCOUNTABILITIES
Act as the primary point of contact with vendors for all billing and invoicing matters
Answer incoming communication from vendors and other relevant parties regarding inbound and outbound shipments
Work closely with logistic companies to maintain accuracy over shipments
Communicate invoice discrepancies, pricing errors, missing support, or contract misalignment to vendors Follow up on outstanding corrections or backup documentation
Track vendor responses and drive issues to resolution
Work with Commercial, Operations, Accounting, and AP teams to validate disputed charges
Back up Client Specialist as during absences or peak periods as required
Identify repeat billing issues and report them to senior staff
Performs other assigned tasks.

SCOPE/DIMENSIONS

The incumbent will work closely with Client Specialist Supervisor NA, Sales department, and internal stake holders as well as external vendors and service providers.
The position provides an essential service to the efficient operation of the business, as accurate invoice reconciliation, timely communication with vendors, and continuity of client support cannot be effectively maintained without this role
.
Be aware of and follow the plant’s environmental policy and environmental management system.
Participate in environmental training meetings as scheduled.

QUALIFICATIONS/KNOWLEDGE/EXPERIENCE

1-3 years of experience in an administrative, finance, accounts payable, billing, operations support or customer service role.
Experience reviewing invoices, purchase orders, or billing documentation
Exposure to communicating with external vendors or service providers regarding invoicing or documentation issuesExcellent communication skills in written and spoken English.
Possess a strong attention to detail and high level of accuracy.
Proficiency in Microsoft Office. Advanced skills in Word and Excel.
Excellent organizational and time management skills with the ability to manage multiple priorities, keep excellent records, and juggle multiple priorities and competing demands ensuring expected outcomes are met.
Strong interpersonal skills with the ability to work and communicate with a wide variety of people from all levels of the organization from front line employees to senior executive management
