Schedule: Monday to Friday, 9:00 AM – 5:00 PM (Full-time)

Direct Reports: Front Desk / Patient Experience Coordinators

Our collaborative team of Physiotherapists, Chiropractors, and Massage Therapists works seamlessly together to help our community thrive.

We are seeking an enthusiastic, motivated, and highly organized Patient Experience & Clinic Manager to lead our front-desk operations, champion our patient-centric culture, and drive day-to-day business processes. Key Responsibilities1. Leadership & Team Management

Team Leadership: Act as the primary leader and point of contact for the Patient Experience coordination team.
Culture & Coaching: Foster a positive, high-performance culture; mentor and coach team members through regular bi-weekly 1-on-1 performance meetings.
Talent Growth: Participate in the recruitment, hiring, onboarding, and training of new administrative staff.
Performance Tracking: Lead weekly and monthly scoreboard and metric reviews with the Clinic Director to monitor and drive clinic growth.

2. Patient Experience & Front Desk Excellence

The 5-Star Journey: Oversee the complete patient lifecycle, ensuring every individual receives a seamless, welcoming, and premium experience.
Communication Flow: Monitor and optimize front-desk phone performance, handling inbound calls, digital inquiries, and walk-ins with efficiency and warmth.
Schedule Optimization: Master the scheduling workflow, comfortably handling a high volume of daily bookings while proactively executing "winback" and follow-up protocols for patients who have drifted from their treatment plans.
Financial Integrity: Confidently manage patient billings, collections, payment processing, POS transactions, and daily financial balancing.
Insurance Navigation: Research and verify extended health benefits, communicating coverage details transparently and effectively to patients.

3. Clinic Operations & Administration

Facility Management: Maintain an impeccable physical environment, ensuring the front desk, waiting area, and treatment rooms are spotless, organized, and fully stocked.
Specialized Claims: Direct and oversee specialized administrative billing procedures, including Motor Vehicle Accident (MVA) and workers' compensation (WSIB/WCB) casework.
Back-End Administration: Execute vital business processes, including staff scheduling, basic bank reconciliations, administrative payroll tracking, and daily digital checklists.
Data & Metrics: Compile and report weekly and monthly operational statistics to help optimize and streamline clinic procedures.

Skills & QualificationsRequired:

Exceptional Communication: Top-tier verbal and written skills with a customer-first mindset. Absolute comfort on the phone is a must.
Multitasking & Organization: Proven ability to prioritize heavy workloads, resolve operational bottlenecks, and meet strict deadlines in a fast-paced setting.
Problem-Solving Agility: Strong critical-thinking skills to navigate patient scheduling conflicts, insurance challenges, and third-party inquiries (law firms, insurance adjusters).
Tech Savvy: Proficient with Microsoft Office Suite (Word, Excel, Outlook) and comfortable mastering cloud-based Electronic Medical Records (EMR) and clinic management software.
Uncompromising Professionalism: A high level of integrity, discretion, and strict adherence to patient privacy regulations.

Preferred Education & Experience:

Bachelor’s degree in Healthcare Administration, Business Management, Kinesiology, or a related field.
Proven management experience in a multidisciplinary clinic, medical office administration, or high-end hospitality environment.
Experience navigating insurance billing platforms, extended health claims, and industry compliance frameworks.
