Patient Care Coordinator & Clinic Operations Assistant

Lift Skin Health & Laser – Maple Ridge, BC

Lift Skin Health & Laser is an award-winning medical aesthetics clinic dedicated to providing exceptional client care, advanced skin treatments, and a luxury experience from the moment our clients walk through the door. We are looking for a mature, detail-oriented Patient Care Coordinator & Clinic Operations Assistant to become an integral part of our growing team.

This is much more than a reception position. We are looking for someone who takes pride in creating exceptional client experiences, enjoys keeping operations running smoothly, and is excited to contribute to the long-term success of our clinic.

About You

You are someone who naturally stays one step ahead. You enjoy being organized, solving problems, anticipating the needs of others, and creating a welcoming environment for clients.

You are confident communicating with people from all walks of life and remain calm and professional, even during busy periods. Most importantly, you are looking for a long-term career in administration within the medical aesthetics or healthcare industry.

Responsibilities

Your responsibilities will include:

Greeting clients and creating a warm, welcoming experience
Answering phones, emails and online inquiries
Scheduling appointments and managing provider calendars using Jane App
Processing payments and reconciling daily transactions
Assisting clients with skincare and treatment recommendations (training provided)
Coordinating retail sales and maintaining attractive product displays
Managing inventory, receiving shipments and placing product orders
Confirming appointments and maintaining cancellation and waitlists
Following up with consultation inquiries and helping clients schedule treatment plans
Preparing reports and assisting with clinic administration
Maintaining client records and ensuring documentation is complete
Assisting with social media content, reviews and marketing initiatives
Supporting the owners with administrative and operational projects
Maintaining the cleanliness and organization of the reception and retail areas
Helping ensure every client receives an exceptional experience from beginning to end

Qualifications

We're looking for someone who has:

Minimum 3 years of administrative or reception experience
Previous experience in a medical aesthetics clinic, medical office, dermatology, plastic surgery, dental, physiotherapy, or other healthcare environment
Exceptional customer service skills
Outstanding verbal and written communication
Strong computer skills and confidence learning new software
Excellent organizational and multitasking abilities
Professional appearance and positive attitude
Ability to work independently while supporting a collaborative team
Experience with Jane App is considered a strong asset
