Full job description

Overview

We are seeking a motivated Entry-Level Executive & Administrative Coordinator & Collections Administrator to join our dynamic team. This versatile role offers an excellent opportunity for individuals interested in gaining experience across administrative, financial, and customer service functions within a professional environment. The position can be full-time or part-time, providing flexibility to accommodate different schedules. The ideal candidate will be detail-oriented, possess strong organizational skills, and demonstrate a proactive approach to managing various administrative and collections-related tasks. This role is perfect for those looking to develop their skills in accounting, customer service, and financial analysis within a supportive team setting.

Duties

Manage accounts receivable and accounts payable processes using accounting software to ensure accurate record-keeping and timely transactions
Perform data entry related to client accounts, payments, and collections with high accuracy
Conduct account reconciliation and analysis to identify discrepancies and resolve billing issues efficiently
Follow up on overdue accounts through professional negotiation and effective phone etiquette to facilitate collections while maintaining positive customer relationships
Assist with account analysis and prepare reports on financial data for management review
Support administrative functions such as scheduling, correspondence, and document management
Provide exceptional customer service by addressing inquiries related to billing, payments, and account status
Collaborate with team members to improve collection procedures and streamline administrative workflows
Maintain organized records of all collection activities and financial transactions in compliance with company policies

Qualifications

Basic knowledge of accounting principles, accounts receivable, and accounts payable processes
Experience or familiarity with accounting software is preferred but not required; willingness to learn is essential
Strong data entry skills with high attention to detail and accuracy
Excellent phone etiquette combined with effective negotiation skills for collections outreach
Customer service orientation with the ability to handle inquiries professionally and courteously
Analytical skills necessary for account reconciliation, analysis, and report preparation
Good math skills for accurate calculations and financial analysis
Ability to work independently as well as part of a team in a fast-paced environment
Strong organizational skills with the ability to prioritize tasks effectively
