Full job description

We are an established excavation and demolition contractor serving the Lower Mainland. We are looking for an experienced Construction Project Administrator / Project Accounting Coordinator to join our office team in Port Coquitlam.

This is a full-time office position supporting project administration, documentation, billing coordination, and project accounting preparation. This role can easily grow into something more for the right person.

This role is approximately:

70% Construction Project Administration
30% Project Accounting Coordination

This is not a Project Manager position and is not a field-based role.

Main Responsibilities

Set up and maintain organized project files
Track project documents, emails, changes, approvals, and follow-up items
Support estimating and operations after projects are awarded
Assist with change order tracking and documentation
Assist with monthly progress billing and invoice preparation
Prepare and organize project documents before sending to accounting
Coordinate with accounting regarding billing backup, job costing, and required paperwork
Track project costs, extras, budgets, and related documents
Assist with scheduling coordination and project follow-ups
Communicate with clients, subcontractors, suppliers, field staff, and office staff
Follow up on missing information, pricing, approvals, paperwork, and documents
Support subcontractor coordination and prepare project close-out documents
Keep active, completed, and pending project records organized and up to date
Support general office administration related to construction projects

Required Qualifications

Previous experience in construction administration, project coordination, or project accounting
Experience with excavation, demolition, civil construction, or construction accounting is an asset
Strong organization, follow-up, and time-management skills
Strong attention to detail and accuracy
Able to manage multiple projects and priorities at the same time
Good understanding of project paperwork, extras, change orders, invoices, and job files
Excellent verbal and written communication skills
Comfortable communicating with clients, subcontractors, suppliers, field staff, and office staff
Proactive, reliable, and able to work independently
Able to work in a busy office environment with changing priorities
Proficient with Microsoft Office (Outlook, Excel, and Word), as well as Bluebeam
Experience with construction software or accounting systems is an asset
Must have access to a reliable personal vehicle for daily commuting to our Port Coquitlam office
