Job Summary

We are seeking a professional and organized Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service and administrative support. This role requires strong communication skills, proficiency in office software, and the ability to manage multiple tasks efficiently. Experience in medical or dental office settings is a plus, but not required. The Receptionist will play a vital role in maintaining a welcoming environment and ensuring smooth daily operations.

Responsibilities

Greet visitors and clients warmly, ensuring a positive first impression
Answer multi-line phone systems promptly and professionally, directing calls as needed
Manage appointment scheduling and confirmations using calendar software
Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks
Handle incoming and outgoing correspondence, including filing and document management
Assist with administrative tasks such as proofreading, organizing files, and maintaining office supplies
Support front desk operations by managing patient or client check-in/check-out procedures
Provide excellent customer service by addressing inquiries and resolving issues efficiently
Support bookkeeping activities related to billing or invoicing when necessary
Maintain a clean and organized reception area to promote a professional environment

Requirements

Proven clerical or administrative experience, preferably in medical or dental offices
Strong computer skills with proficiency in Microsoft Office, Google Workspace, QuickBooks, and data entry
Excellent organizational skills with attention to detail and accuracy in proofreading and typing
Exceptional customer service skills with professional phone etiquette
Ability to handle multi-line phone systems efficiently and courteously
Prior experience with front desk operations, filing systems, and administrative support is preferred
Strong organizational skills with the ability to prioritize tasks effectively
Ability to work independently while managing multiple responsibilities in a fast-paced environment
High school diploma or equivalent; additional office or medical office training is advantageous
