Position Summary

As an Executive Assistant, you will provide high-level support to the Director of Board and Superintendent Relations and the Board of Trustees, overseeing administrative, operational and budget functions. This pivotal role requires an in-depth knowledge of the Division’s organizational structures, policies and Board governance. We require a proactive professional with a strong service orientation who is used to working in a fast-paced, highly political environment.

Job Duties/Responsibilities

Executive Governance Support

supporting the Director and nine Trustees by managing workflow, calendars, emails, coordinating meeting logistics, and making travel arrangements for conferences
supporting the Corporate Governance Coordinator as backup for the Trustee Service Request system and Board meetings
maintaining filing, recording and tracking systems to ensure effective flow of correspondence and records

Financial Management Accountability

preparing budgets and customized financial reporting along with managing all financial transactions for the department
processing and reconciling Trustee expense claims and allocation balances to ensure accuracy for public disclosure

Operational Coordination Stakeholder Relations

coordinating administrative functions for the department including the development of system and procedures to ensure coordination between the Board office, Superintendent’s office and other central departments
liaising with Division staff and external organizations regarding Trustee’s participation in community events
assisting schools and community groups in extending invitations to Trustees for special events including tracking attendance and advising on appropriate protocols

Education/Qualifications

diploma in Office Administration or a related field
minimum of three years’ proven experience in an executive administrative role, preferably within a large organization or educational setting
advanced computer skills and the ability to manage complex digital scheduling and document management systems
exceptional verbal and written communication skills
strong problem-solving and analytical skills coupled with the ability to work independently and manage competing priorities
demonstrated commitment to the Division Strategic Plan, equity, and a collaborative work environment

Rate of Pay

$43.40 - $55.42 per hour
