The Executive Assistant will provide high-level administrative, executive, and project coordination support to the President and CEO. This role manages schedules, travel, meetings, reports, and business priorities while coordinating corporate initiatives, special projects, and events. The Executive Assistant works closely with internal teams and external partners to ensure projects are delivered efficiently, professionally, and with a high level of discretion.
This position requires a proactive, detail-oriented individual who is highly confidential, organized, and comfortable working directly with senior leaders across a multi-site business.
Key Responsibilities
Executive & Administrative Support
- Provide comprehensive administrative support to the President and CEO, including calendar management, correspondence, and document preparation.
- Act as a gatekeeper for requests, communications, and scheduling, prioritizing issues based on business impact.
- Prepare agendas, briefing materials, and follow-up action lists for meetings.
- Handle sensitive and confidential information with a high degree of professionalism and discretion.
Reports & Business Support
- Prepare executive reports, summaries, presentations, and data analysis to support decision-making.
- Track key initiatives, deadlines, and commitments on behalf of the President and CEO.
- Coordinate and support cross-functional projects, corporate and charitable initiatives, ensuring timelines, deliverables, and stakeholders remain aligned.
- Assist with special projects, lease management, and business initiatives as assigned.
Travel & Accommodation Coordination
- Arrange all travel, including flights, accommodations, ground transportation, and itineraries.
- Anticipate travel requirements and proactively manage changes, disruptions, and contingency planning.
- Ensure all travel aligns with business priorities, preferences, and cost-effectiveness.
Meetings & Event Planning
- Coordinate corporate regional and fall meetings, leadership meetings, and other executive events.
- Plan and manage logistics for company events, conferences, and off-site gatherings (venues, accommodations, travel, materials, and schedules).
- Lead the coordination of recurring corporate programs and events, working with vendors and internal stakeholders to ensure seamless execution.
Liaison & Communication
- Serve as a key point of contact between the President, internal leadership, and external partners.
- Draft and manage professional correspondence on behalf of the President and CEO.
- Support communication flow across departments while maintaining confidentiality and clarity.
Qualifications & Experience
- 5+ years of experience as an Executive Assistant supporting senior executives, owners, or principals.
- Proven ability to coordinate multiple priorities, projects, corporate events, and executive travel simultaneously.
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
- Experience in retail, multi-location, or family-operated businesses is an asset.
- Exceptional organizational and time-management skills.
- Strong project coordination and prioritization abilities, with the capacity to manage multiple concurrent initiatives.
- High level of discretion, integrity, and professionalism.
- Strong analytical and written communication skills.
- Ability to anticipate needs and work independently with minimal direction.
- Calm, solution-oriented approach in fast-paced or high-pressure situations.
