Position Summary

This individual is responsible for carrying out assigned tasks/responsibilities efficiently and effectively. They will meet quality standards and production targets set by the organization. They will follow established procedures, guidelines, and best practices. It is important that they maintain open and constructive communication with colleagues, supervisors, and other stakeholders. Finally, they will show punctuality and reliability in fulfilling work obligations.

Duties & Responsibilities

Sales Support

Assist the Sales team with day-to-day administrative tasks and reporting
Prepare and maintain sales documents, price lists, and community information
Support model home and presentation centre operations
Assist with maintenance of Client Management Systems
Coordinate appointments, meetings, and client communications as required
Available as support (in person or virtually), to assist other Patten Homes Sales offices when new communities are launched, for new lot releases and for when staff vacations require etc.

Marketing Support

Assist with execution of marketing campaigns, promotions, and launches
Coordinate with designers, agencies, and internal teams on marketing materials
Maintain website, listings, signage, and digital assets as directed
Support social media, email campaigns, and community marketing initiatives
Help manage photography, renderings, and marketing collateral

Systems Administration & Reporting

Maintain accurate data in CRM, ERP, sales tracking, and reporting systems
Generate reports for Sales & Marketing Manager as required
Ensure consistency and organization across internal systems and files
Support continuous improvement of processes and workflows

Qualifications & Experience

Post-secondary education in Marketing, Business Administration, Communications, or related field
2+ years of experience in a coordinator, marketing, sales support, or administrative role
Strong organizational and time-management skills
Excellent written and verbal communication abilities
Detail-oriented with the ability to manage multiple priorities
Proficient in Microsoft Office / Google Workspace; CRM experience an asset
Comfortable working in a fast-paced, deadline-driven environment
Experience with SharePoint, Newstar, SalesExpress, Lasso and Anewgo systems will be considered an asset
Experience in real estate, homebuilding, or construction is an asset
