KCL Cattle Company Ltd. is seeking a highly organized, dependable, and detail-oriented Parts & Service Coordinator to join our team.
This position plays an important role in supporting the maintenance and operational needs of our feedlot, farming, and equipment operations. The Parts & Service Coordinator will work closely with the Shop Manager, mechanics, apprentices, vendors, and operational managers to ensure the right parts, supplies, services, and information are available when needed.

About the Role
The Parts & Service Coordinator is responsible for coordinating the procurement, inventory, organization, and documentation of parts, supplies, tools, maintenance services, and shop administration activities across KCL Cattle Company Ltd.
The primary goal of this role is to provide timely support to maintenance operations, improve organization and inventory control, and help minimize equipment downtime.
This is a shop-based position that requires a consistent presence within the maintenance environment. While administrative and computer-based work is an important part of the role, the successful candidate will also be comfortable working around heavy-duty trucks, tractors, farm equipment, mechanics, parts, tools, and the busy day-to-day operations of a feedlot and farming business.
Key ResponsibilitiesParts Management & Procurement
- Maintain accurate inventory of parts, supplies, tools, consumables, and maintenance-related materials.
- Source and order parts in a timely manner to meet maintenance and operational requirements.
- Track shipments and follow up on backorders, delays, and outstanding orders.
- Work with vendors to obtain pricing, warranties, service agreements, and delivery schedules.
- Support cost-effective purchasing decisions while maintaining equipment reliability.
- Organize and maintain parts inventory systems for efficient retrieval and tracking.
- Conduct regular inventory audits and cycle counts.
- Monitor critical inventory levels and recommend stocking requirements.
- Assist operational managers with sourcing feedlot supplies, yard supplies, equipment parts, and operational materials as required.
Service Coordination & Maintenance Support
- Coordinate outside service providers, technicians, repairs, inspections, and maintenance services.
- Schedule and coordinate service appointments and ensure required information is available.
- Communicate with mechanics, managers, vendors, and service providers regarding maintenance requirements.
- Track outstanding repairs, parts, services, and follow-up requirements.
- Support preventative maintenance programs and maintenance planning.
- Assist with coordinating equipment downtime and repairs to support timely return to service.
Shop Administration & Documentation
- Maintain accurate records related to parts, repairs, services, warranties, and equipment maintenance.
- Process purchase orders, invoices, receipts, and other maintenance-related documentation.
- Ensure accurate information is entered into applicable systems.
- Assist with maintaining equipment records and service histories.
- Support accurate tracking of maintenance costs and purchasing information.
- Maintain organized documentation and records for future reference.
Communication & Operational Support
- Serve as an important communication link between the Shop, mechanics, vendors, and operational managers.
- Provide updates regarding parts availability, delivery timelines, service scheduling, and repair status.
- Follow up consistently on outstanding items to ensure issues do not get missed.
- Help identify opportunities to improve organization, communication, inventory control, and purchasing processes.
- Support the Shop Manager and operational teams with additional administrative and coordination requirements as needed.

Experience & Qualifications
Experience in one or more of the following areas would be considered an asset:
- Parts coordination or parts management.
- Heavy-duty, agricultural, automotive, construction, or industrial equipment.
- Purchasing or procurement.
- Inventory management.
- Maintenance administration.
- Service coordination.
- Administrative or office support in a technical environment.
Experience with parts and heavy equipment is an asset, but we are also willing to train the right candidate who demonstrates strong organizational skills, initiative, communication, and a willingness to learn.
