JOB SUMMARY

We are hiring an Accounts Receivable / Accounting Coordinator in London Ontario for one of our clients.

AES (Agency Employment Services) is a Canadian employer of record, PEO partner, and licensed Ontario staffing agency with 20+ years of HR, payroll and legal compliance expertise. With a responsive HR support team based across southwestern Ontario and the Greater Toronto Area, we provide local and international clients with outsourced fractional HR services, back-office support, and customized workforce solutions to help simplify the complex employer landscape.

We specialize in recruiting and onboarding, employment contracts, payroll, HR, benefits administration, and employment standards compliance. Whether acting as an Employer of Record, or supporting clients with staff, payroll or fractional HR back-office coverage for their Canadian operations, AES delivers practical expertise and tailored solutions to meet clients’ complex workforce needs.

ABOUT THE POSITION

Our client is a well-established hospitality organization operating a hotel and conference centre. They are currently seeking an experienced Accounts Receivable / Accounting Coordinator for a temporary assignment of approximately 3 to 4 weeks.

The successful candidate will support the Finance team with accounts receivable, direct billing, collections, cashbook activities, banking, general ledger support, reconciliations, and general accounting functions.

This is a full-time temporary opportunity for an accounting professional with hospitality experience or a strong background in accounts receivable, bookkeeping, accounting, or collections.

JOB DESCRIPTION:

Coordinate the direct billing function for clients and follow up on outstanding accounts.
Set up direct billing codes for upcoming functions and events.
Prepare accurate client bills with supporting documentation, including signed function sheets, food and beverage checks, commitment fees, third-party charges, room folios, and other required documentation.
Review bills for accuracy, completeness, timeliness, and compliance with contracts, rooming lists, and function sheets.
Review billing with conference planners before issuing invoices to clients.
Identify and communicate discrepancies or inconsistencies with outlet postings.
Work with hotel departments and outlets to ensure group billing is completed within 48 hours of departure.
Prepare complete and accurate billing packages for mailing within five days of departure.
Follow up with clients after billing to confirm receipt of invoices and payment terms.
Obtain estimated payment dates and follow up on outstanding balances.
Respond to client, associate, and vendor inquiries in a timely and professional manner.
Issue monthly accounts receivable statements.
Post and verify incoming payments.
Research and follow up on payment shortages, overages, and discrepancies.
Maintain the daily payments receipts journal.
Perform daily accounts receivable transfers and print accounts receivable aging reports.
Assist the Accounting Manager with monthly bank reconciliations.
Record bank transactions in the General Ledger, including bank charges, wire payments, direct bank debits, and credit card commission transactions.
Record intercompany bank transfer journals.
Process U.S. dollar bank entries and applicable foreign exchange journal entries.
Reconcile due-backs and prepare weekly due-back payouts.
Assist with the preparation and entry of month-end journals.
Assist with Daily Sales Reports, market segments, accruals, and statistical reporting, including room nights and covers for both properties.
Assist with balance sheet account reconciliations prior to month-end closing.
Assist with monthly balance sheet binders and supporting documentation.
Assist with documentation for asset additions, prepayments, and other balance sheet accounts.
Assist with the preparation and submission of statutory returns, including HST.
Assist with weekly banking activities, including retrieving cash envelopes, counting cash, and reconciling restaurant and Front Office cashiering.
Assist with internal and external audits.
Support the Finance team with additional accounting duties as required.

REQUIREMENTS / CERTIFICATIONS

Previous experience in accounts receivable, bookkeeping, accounting, collections, or a related position.
Hospitality or hotel accounting experience is considered a strong asset.
Knowledge of hospitality billing and accounts receivable practices.
Strong understanding of accounting principles and best accounting practices.
Experience with account reconciliation, payment processing, collections, and financial reporting.
Strong attention to detail and accuracy.
Excellent organizational and time-management skills.
Strong communication and customer service skills.
Ability to manage multiple priorities and meet deadlines.
Proficiency with Microsoft Office, particularly Excel.
Experience with ProfitSword / ProfitSage, M3, OPERA, or similar hospitality accounting systems is considered an asset.

COMPENSATION AND BENEFITS

$23.50 per hour
Temporary assignment approximately 3 to 4 weeks

SCHEDULE:

Full-Time Temporary
Monday to Friday
8:00 AM – 4:00 PM
