Job Overview
As an Assistant Wedding Coordinator, you will support the Lead Coordinator in ensuring a smooth and seamless wedding day experience for our couples. Your role begins by reviewing the event timeline and key details in advance, then being onsite on the day of the wedding to help manage logistics, assist vendors, and troubleshoot any last-minute changes. Your strong organizational skills, calm presence, and attention to detail will help bring the couple’s vision to life while supporting the Lead Coordinator in delivering a stress-free celebration.

Responsibilities

Review the wedding day timeline and floor plan in advance to be familiar with all logistics.
Provide support to the Lead Coordinator in executing the wedding day schedule smoothly.
Assist with setup of ceremony and reception spaces, ensuring details are aligned with the couple’s vision.
Help with vendor check-ins, setup coordination, and any immediate needs throughout the event.
Support the couple, their families, and guests on the wedding day with professionalism and warmth.
Troubleshoot and communicate any last-minute changes or issues to the Lead Coordinator calmly and efficiently.
Follow direction from the Lead Coordinator and take initiative where needed to keep the event on track.
Assist with managing the wedding party during key transitions such as processional, photos, and speeches.
Represent The Vow Company with a positive, team-oriented attitude at all times.
Support event teardown and cleanup as needed, ensuring nothing is left behind.
Provide exceptional customer service throughout the planning process and on the wedding day.

Skills

Strong customer service skills to build rapport with clients and vendors alike.
Excellent time management abilities to handle multiple tasks and deadlines efficiently.
Experience in guest services to ensure a positive experience for all attendees.
Background in wedding or hospitality management is a plus for understanding event dynamics.
Clear communication skills for effective interaction with clients, vendors, and team members.
Exceptional organizational skills to keep track of numerous details involved in wedding planning.
Prior experience coordinating, working or managing events (1–2 years minimum preferred)
Ability to remain calm and upbeat under pressure

Nice to Have:

Bilingual or multilingual ability is an asset.
Knowledge of different traditional and fusion wedding customs
