Job Overview

Headwater Management Ltd. is looking for a reliable, organized, and customer-focused Receptionist / Administrative Assistant to join our North Vancouver office.

This position is an important part of our day-to-day operations, supporting customers, drivers, dispatch, and management in a busy excavation, trucking, aggregate sales, and material-supply environment. The right person will be comfortable handling multiple tasks, communicating clearly, and keeping things organized in a fast-paced setting.

Responsibilities

Greet and assist customers in person, by phone, and by email
Process customer payments and maintain accurate transaction records
Prepare invoices, estimates, purchase orders, and supporting paperwork
Coordinate trucking pickups, deliveries, material orders, and scheduling
Communicate with drivers, yard staff, suppliers, and customers throughout the day
Enter and update customer, job, delivery, and billing information
Assist with filing, document organization, and general office administration
Support management and dispatch with other administrative tasks as required

Qualifications

Previous receptionist, administrative, customer service, or office experience
Strong communication skills and a professional, friendly attitude
Comfortable handling payments, invoices, estimates, and basic data entry
Organized, dependable, and able to prioritize work in a busy environment
Confident using computers, email, Microsoft Office, and office software
Experience in trucking, excavation, construction, landscaping, aggregates, dispatch, or material supply is an asset, but not required
