Full job description

NextGen Systems Canada is looking for a motivated and organized Junior HR & Administrative Assistant to join our team.

This opportunity suitable for someone who has basic knowledge of Human Resources and administration and is interested in developing their skills in a professional work environment.

The successful candidate will support day-to-day HR activities, office administration, employee documentation, scheduling, and general coordination tasks. Training and guidance will be provided as required.

Key Responsibilities

Administrative Support

Perform general administrative and office support duties.
Organize documents, files, spreadsheets, and company records.
Assist with emails, phone calls, scheduling, and meeting coordination.
Prepare basic reports, forms, and other business documents.
Perform data entry and maintain accurate records.
Coordinate office supplies and other administrative requirements.
Provide general support to management and other team members.
Perform other administrative duties as assigned.

Human Resources Support

Assist with basic recruitment activities, including posting jobs and reviewing applications.
Coordinate interviews and communicate with candidates.
Assist with new employee onboarding and orientation.
Prepare and organize employee documents and HR records.
Maintain employee information and personnel files.
Assist with attendance, vacation, leave, and other HR records.
Support the preparation of employment letters and basic HR documentation.
Help answer routine employee questions and direct requests to the appropriate person.
Assist management with other day-to-day HR activities.

Qualifications

College diploma, certificate, or relevant education in Human Resources, Business Administration, Office Administration, or a related field is preferred.
Basic understanding of HR and administrative functions is an asset.
Basic knowledge of Microsoft Office, including Word, Excel, and Outlook.
Good written and verbal communication skills.
Strong organizational skills and attention to detail.
Ability to handle confidential employee and company information professionally.
Willingness to learn and take on different responsibilities.
Ability to work independently and as part of a team.
