Full job description

Job Overview
We are seeking a dedicated and detail-oriented College Administrator to join our team. In this role, you will support academic operations, student services, and institutional compliance within a fast-paced post-secondary environment. Your experience in Canadian college administration will be essential to ensuring a seamless experience for students, faculty, and stakeholders.

Duties

Manage front desk operations, including greeting visitors and handling multi-line phone systems
Perform data entry and maintain organized filing systems, both physical and digital
Utilize Microsoft Office Suite, Google Workspace, and QuickBooks for document creation, record keeping, and bookkeeping tasks
Assist with appointment scheduling, calendar management, and correspondence
Provide customer service support via phone, email, and in person
Handle clerical duties such as proofreading documents, managing incoming mail, and processing invoices
Support medical or dental office functions if applicable, including patient check-in and record management
Maintain organization of office supplies and equipment
Ensure adherence to office policies regarding phone etiquette and confidentiality

Requirements

An Office Administration degree or diploma is preferred
Minimum of 2-3 years of experience in a college administration role within a post-secondary institution in Canada
Proven experience in administrative roles with strong organizational skills
Proficiency in Microsoft Office (Word, Excel), Google Workspace, and QuickBooks
Excellent computer skills including data entry, typing, and document proofreading
Prior clerical or office experience; medical or dental office experience is a plus
Strong customer service skills with professional phone etiquette
Ability to manage multi-line phone systems efficiently
Experience with filing systems and record management
Demonstrated organizational skills with attention to detail
Ability to handle multiple tasks simultaneously in a fast-paced environment
Previous experience in bookkeeping or financial recordkeeping is desirable
