About Us:

At United Way of Greater Moncton & SENB, we are dedicated to empowering everyone to improve lives and build strong communities. We are seeking a highly organized, professional, and reliable bilingual (English/French) Administrative Support Specialist to join our team. This role is essential in supporting the day-to-day operations of the organization and ensuring our programs, events, and administrative functions run smoothly.

Key Responsibilities:

Provide administrative support to the CEO
Answering and directing phone calls, emails, and other inquiries in a professional and timely manner
Assisting with the preparation and coordination of meetings, including scheduling, gathering materials and preparing the meeting room.
Support the administration of organizational programs and services, including community initiatives, the Seniors' Meal Program, transportation program, and other activities as assigned.
Managing and organizing program-related documents and materials for various initiatives
Supporting staff and volunteers by providing administrative assistance across different programs
Helping with the day-to-day office operations and ensuring a well-organized workspace
Assisting with data entry, record keeping, and maintaining accurate files as needed.
Other general administrative tasks as required

Qualifications:

Previous administrative or office experience preferred
Strong communication skills, both written and verbal (English and French)
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, etc.) or similar software
Excellent organizational and multitasking abilities
A proactive attitude with attention to detail
Ability to work independently and as part of a team
Passion for supporting the work of a nonprofit and making a positive impact

Nous sommes à la recherche d'un(e) spécialiste du soutien administratif bilingue (français/anglais), organisé(e), professionnel(le) et fiable, pour se joindre à notre équipe. Ce rôle est essentiel pour soutenir les opérations quotidiennes de l'organisation et assurer le bon fonctionnement de nos programmes, événements et activités administratives.

Principales responsabilités

Fournir un soutien administratif à la direction générale (CEO).
Répondre aux appels téléphoniques, aux courriels et aux autres demandes de renseignements de manière professionnelle et en temps opportun.
Participer à la préparation et à la coordination des réunions, y compris la planification, la préparation des documents et l'organisation des salles de réunion.
Soutenir l'administration des programmes et services de l'organisation, notamment les initiatives communautaires, le Programme de repas pour les aînés, le programme de transport et d'autres activités, selon les besoins.
Gérer et organiser les documents et le matériel liés aux différents programmes et initiatives.
Offrir un soutien administratif aux employés et aux bénévoles dans le cadre de divers programmes.
Contribuer aux opérations quotidiennes du bureau et veiller au maintien d'un environnement de travail bien organisé.
Effectuer la saisie de données, la tenue de dossiers et le maintien de fichiers précis, au besoin.
Accomplir d'autres tâches administratives générales selon les besoins.

Qualifications

Expérience préalable en administration ou en soutien de bureau, un atout.
Excellentes compétences en communication, tant à l'oral qu'à l'écrit, en français et en anglais.
Maîtrise de la suite Microsoft Office (Word, Excel, PowerPoint, Outlook, etc.) ou de logiciels similaires.
Excellentes aptitudes en organisation et en gestion de multiples priorités.
Attitude proactive et grand souci du détail.
Capacité à travailler de façon autonome ainsi qu'au sein d'une équipe.
Intérêt marqué pour le secteur communautaire et désir de contribuer positivement à la communauté.
