About us

The Nanaimo Brain Injury Society (NBIS) is a registered non-profit society and registered charitable organization. We are a progressive society providing support, education and connection for people living with brain injury since 1988 through education, advocacy, and community support. Energetic and dedicated, our team provides a strong foundation on which we build positive relationships with clients, family members and our wider community. Position Summary

The Group Programs Coordinator plans, organizes, and supports group-based programs at the Nanaimo Brain Injury Society (NBIS). Reporting to the Programs Manager, this role supports programs that promote emotional, physical, mental, social, and spiritual wellbeing for people affected by acquired brain injury and their caregivers.

The role works with brain injury survivors and families, facilitators, volunteers, staff, and community partners to deliver welcoming, inclusive, and responsive programs that support connection, skill-building, confidence, and community belonging.

Key Responsibilities:

1. Program Coordination

· Plan, organize, and coordinate workshops, activities, and support groups aligned with NBIS mission, values, and program goals.

· Register participants, manage attendance, send reminders, and support accessible participation.

· Coordinate with facilitators, participants, volunteers, staff, and community partners to support effective program delivery.

· Facilitate group discussions, workshops, creative activities, interactive exercises, and skill-building sessions as appropriate.

· Foster a safe, respectful, and inclusive environment where participants can share experiences, build relationships, and develop skills.

· Respond to participant questions or concerns and connect participants with additional NBIS support when needed.

· Monitor and document program activities, participant feedback, and outcomes to support continuous improvement.

· Coordinate preparation and distribution of Brain Injury Identification Cards.

2. Administration and Team Collaboration

· Maintain accurate and confidential records using NBIS shared drives and the case management database.

· Prepare and submit program statistics, reports, timesheets, and other documentation in a timely manner.

· Support program communications, scheduling, materials preparation, and room setup as needed.

· Follow NBIS policies, procedures, confidentiality requirements, and documentation practices.

· Attend staff meetings, training sessions, planning meetings, and other organizational activities.

· Work collaboratively with the Programs Manager and staff team to align group programs with broader organizational priorities.

· Respond appropriately to urgent or emergency situations in accordance with NBIS procedures.

· Adapt to changing needs and priorities, reprioritize tasks as required, and assist with other related duties as assigned.

Qualifications and Experience

· Post-secondary education in social services, recreation, health promotion, psychology, social work, or a related field, or an equivalent combination of education, training, and experience.

· Experience coordinating group programs, workshops, recreational activities, peer support programs, or community-based services.

· Experience working with people who face complex barriers, disability, trauma, health challenges, or social isolation is an asset.

· Knowledge of acquired brain injury, neurological conditions, or community health services is an asset.

· Familiarity with non-profit or community-based service organizations is an asset.

Knowledge, Skills, and Abilities

· Strong interpersonal, communication, and group facilitation skills.

· Ability to build respectful relationships with participants, facilitators, volunteers, staff, and community partners.

· Strong organizational skills, attention to detail, and ability to manage multiple priorities.

· Ability to work independently while contributing to a collaborative team environment.

· Ability to maintain professional boundaries, confidentiality, and accurate documentation.

· Comfort adapting activities and communication to meet participant needs.

· Digital literacy skills, including email, shared drives, and database entry.

· Ability to travel within Nanaimo for occasional program activities. Access to reliable transportation is required. A valid BC driver licence and appropriately insured vehicle are an asset.

Working Conditions

· In-office position based at NBIS, 101-235 Bastion Street, Nanaimo, BC.

· Some local travel within Nanaimo may be required.

· Direct interaction with brain injury survivors, caregivers, volunteers, facilitators, staff, and community partners.

· Duties may change in consultation with the employee to meet program and organizational needs.

Condition of Employment

The successful candidate will be required to complete a satisfactory Criminal Record Check, including vulnerable sector screening, as a condition of employment.
