Full job description

Overview
We are seeking a professional and detail-oriented Legal Assistant/Receptionist to join our legal team. This role is essential in providing exceptional administrative support, ensuring smooth office operations, and maintaining a welcoming environment for clients and visitors. The ideal candidate will possess strong organizational skills, excellent communication abilities, and familiarity with legal procedures and tools. Prior experience in administrative or clerical roles within a legal setting is highly desirable. This position would primarily assist with Family Law, Wills and Estates and Invoicing and Accounts Receivable. It is an asset that this candidate have experience with Real Estate transactions to provide relief for annual vacation and provide assistance when required.

Duties

Greet clients, visitors, and vendors with professional phone etiquette and a welcoming demeanor
Manage incoming calls, direct inquiries appropriately, and handle message taking efficiently
Perform data entry and maintain accurate filing systems
Document proofreading, and drafting of basic legal correspondence and filing
Maintain organized physical and electronic files, ensuring confidentiality and compliance with firm policies
Schedule appointments and meetings
Assist with clerical tasks such as copying, scanning, faxing, and general administrative support

Requirements

Proven clerical or administrative experience, preferably within a legal environment
Strong organizational skills with the ability to manage multiple tasks efficiently
Excellent written and verbal communication skills with attention to detail in proofreading and legal drafting
Familiarity with PC Law, Outlook and Microsoft Word
Ability to perform data entry accurately and maintain meticulous filing systems
Exceptional phone etiquette and professionalism
Ability to work independently with minimal supervision while collaborating effectively within a team
Prior experience with Real Estate is an asset with familiarity with Family Law and Wills and Estate being preferred but not required.

This position is integral to the efficient operation of our legal practice. We value candidates who demonstrate professionalism, organizational excellence, and a proactive approach to supporting our success. Salary will be commensurate with experience.

Pay: $34,000.00-$54,000.00 per year
