Our main location at Niagara Region, is our Regional Headquarters in Thorold, ON. However, the successful incumbents will work replacement shifts to cover existing staff's scheduled and unscheduled absences. The incumbents will work in all seven of our long term care facilities listed below:

Gilmore Lodge - Fort Erie
Northland Pointe - Port Colborne
Rapelje Lodge - Welland
Woodlands of Sunset - Welland
Linhaven - St.Catharines
Deer Park Villa - Grimsby
Meadows of Dorchester - Niagara Falls

Job Description

JOB SUMMARY

The Long Term Care Assistant is responsible for responding to all customers at the main reception area; answering incoming calls and inquiries from the general public; providing clerical support; processing accounts payable and receivables; cash management; and resident trust accounts.

QUALIFICATIONS

EDUCATION

Completion of Grade 12

Completion of Business or Office Administration Certificate or Diploma or related field of study

Additional training in software courses including databases, spreadsheets, word processing

KNOWLEDGE/EXPERIENCE

Minimum 2 years related experience in a fast-paced or similar environment where interaction with the public was significant

Must possess experience in a Long Term Care environment

Must possess some knowledge of working with individuals with dementia

SKILLS

Must possess strong knowledge and experience in word processing, spreadsheets, databases, computer applications, and keyboarding skills

Must possess strong knowledge and experience in clinical documentation system (e.g. PCC)

Must possess strong knowledge and experience in the EFMS system

Must possess excellent communication (verbal and written) and interpersonal skills

Must possess excellent customer service skills

Must possess excellent organization skills, ensuring procedural, professional, and/or organizational standards are adhered to

Must be able to work under pressure with multiple deadlines and frequent interruptions

Must be receptive and open to change

Must be motivated to learn

Must recognize and adapt to individual differences and team dynamics to produce effective working relationships

SPECIAL CONDITIONS

May be required to travel to other offices or community locations for meetings/training as assigned

An annual influenza vaccination is recommended

In accordance with the Corporate Criminal Record Check Policy, the position requires the incumbent to undergo a Criminal Records Check and submit a Canadian Police Clearance Certificate.

RESPONSIBILITIES

Reception

Answers main telephone; make appointments where applicable; take messages; and redirect calls. Check general phone mailbox and forward calls as appropriate.

Responds to service inquiries from residents, staff, families, volunteers, and the general public, replying appropriately to all queries. Refer inquiries and referrals requiring professional knowledge to the manager or appropriate staff. Provides meal tickets for families/visitors.

Pages routine messages and may be asked to page emergency procedures.

Clerical

Responsible for communications support- including receiving and distributing incoming mail and faxes, updating information boards, sending out communication to families, maintaining various distribution lists and resident lists.

Performs clerical support- including general typing and non-confidential filing, booking of meeting rooms, updating manuals as provided, assist with inventory distribution, prepares nursing daily planners.

Ensures contractors are on the registry and signing in when coming to provide service.

May be required to assist with tours for the general public.

Responsible for annual records destruction and retention of records/files.

Responsible for In-touch link inputting and works with Intouch service desk.

Staff support- prepares staff requisitions/employee status forms for manager’s approval; posting of various material in the staff room; ensuring forms are updated in the staff room.

Resident support- renews/updates Health Cards, schedule and complete invitations for Care Conferences and Celebration of Life Services.

Financial

Cash Management- Provides residents and family members with print outs of their accounts as required. Distribute and reconcile/balance resident and home petty cash funds, resident trust and other general accounts.

Resident Trust Accounts -Provides clerical support to ensure adherence to resident trust account policies and procedures.

EFMS:

Uses EFMS for receiving of goods and completes receipt process.

Purchasing Card- scans invoices from all visa holders in the home on a monthly basis.

Maintain data in Point Click Care:

Completes daily tasks with the census and cash box. Prepares and submits bank deposits on a weekly basis

Updates census of residents movement on a daily basis

Counts and replenishes cash box daily

Records trust transactions in PCC daily

Reconcile and prepare for deposit as required from various sources- e.g. donations, incidental revenues and recoveries, etc.

Reconcile and seek approval to replenish resident trust cash box and petty cash box when required

Prepare withdrawal and deposit batches prior to month end close

Provide residents and POA with print outs of their accounts as required

Resident Admissions and Discharges

Handling the tasks and clerical support involved in onboarding new residents to the home as well as discharging residents. This includes completion of internal forms, encoding resident information in to Point Click Care, and obtaining medical and financial charts and preparing for storage

This includes external communications to the Ministry, CCAC and Service Canada.

Central Scheduling Support

Maintain job posting board and posting of staff schedules

Works with the Long Term Care Scheduling Clerk for sharing of information for scheduling such as daily scanning of exception sheets and weekly posting of schedules. Posting of vacation requests and central block forms that are provided by Central Support.

Shift Information

There are no guarantee of hours per week, however work shifts are 8:30am to 4:30pm, Monday - Friday.

Other Conditions

Conditions of offer include:

obtaining a police clearance that is less than 6 months old from date of hire
satisfactory completion of 2-Step TB Test Or Chest X-Ray
