About the Role
We are looking for a highly organized, proactive Project Coordinator to serve as the vital bridge between our Sales, Operations, and Installation teams, as well as our external General Contractors and clients.
In this role, you are the traffic controller for our commercial security deployments. You will take Purchase Orders from Sales, action the procurement of required hardware, understand and translate project scopes into actionable field schedules, and communicate with GCs on construction timelines, from initial handoff to compiling the final closeout packages that ensure we get paid, you own the administrative success of the project life cycle.
Key Responsibilities:
· Sales-to-Ops Handover: Take ownership of newly closed sales contracts. Review scopes of work (SOW) and equipment lists to cleanly transition projects from the sales pipeline to active operational planning.
· Procurement Liaison & ETA Tracking: Coordinate directly with the internal Procurement Team to submit hardware requirements immediately post-sales handoff. Actively track equipment ETAs provided by procurement to align delivery timelines with look-ahead field schedules, ensuring zero downtime for install teams.
· GC & Client Correspondence: Serve as the primary, professional point of contact for General Contractors and clients. Proactively manage expectations regarding site readiness, construction delays, and deployment windows.
· Schedule & Deadline Management: Map out critical path milestones, project start dates, and hard deadlines. Monitor construction schedules for new commercial builds to ensure our teams are scheduled exactly when the site is physically ready.
· Project Closeout & Documentation: Maintain, update, and organize all project-related documentation (Change Orders, RFIs, submittals). Own the final closeout process by chasing down field technicians for as-built drawings, sign-offs, and commissioning reports to compile clean packages for final GC approval and billing.
Qualifications & Skills
· Experience: 2–4 years of experience as a Project Coordinator, ideally within commercial construction, low-voltage systems, electrical contracting, or security integration.
· Communication Style: Strong interpersonal skills with the ability to push back professionally on GCs regarding site delays while maintaining positive client relationships.
· Technical Savvy: High proficiency with Microsoft Office (especially Excel for tracking sheets and Outlook for heavy correspondence). Ability to learn to read architectural floor plans and security layouts.
· Organizational Muscle: Attention to detail and the ability to remain organized over multiple projects at once.
Pay: $45,000.00-$75,000.00 per year
