About the Role

We’re looking for a reliable and detail-oriented Office Administrator to support day-to-day operations, including invoicing, accounts receivable/payable, and general office coordination.

This role is ideal for someone who understands how quotes, purchase orders, invoices, and payments flow through a business — and takes pride in keeping things accurate, organized, and on time.

Key Responsibilities:

Office Administration

Answer and direct incoming calls and greet visitors
Manage emails and general office communication
Maintain organized digital and physical filing systems
Order office supplies and coordinate with vendors
Support internal team with administrative tasks

Invoicing, A/R & A/P

Prepare and send customer invoices
Follow up on outstanding accounts receivable (A/R)
Assist with quotes, pricing updates, and order tracking
Process purchase orders and match invoices to orders
Review incoming bills for accuracy and proper approval
Enter credit card transactions and expenses into QuickBooks
Process accounts payable and prepare payments
Ensure all transactions are accurate and completed on time

What We’re Looking For

Strong attention to detail and organizational skills
Comfortable working with numbers, invoices, and data entry
Understanding of basic business flow (quotes → POs → invoices → payments)
Ability to manage multiple tasks and meet deadlines
Professional and friendly communication skills

Qualifications

2–4 years experience in an administrative, office, or accounting support role
Experience with invoicing, A/R, A/P, or order processing
QuickBooks or similar accounting software experience is an asset
Proficient with Microsoft Office and general computer systems
Valid driver’s license and reliable transportation

Pay: $40,000.00-$55,000.00 per year
