Support the Financial & Administrative Side of a Growing Industrial Business

Conveyor Supply Co. (CSC) is looking for an organized, resourceful and detail-oriented Administrative Coordinator to join our growing team.

Reporting directly to the Controller, this position will play an important supporting role in CSC's day-to-day operational and financial administration.

You'll work closely with the Controller to help keep our financial records accurate and up to date, assist with accounts receivable, prepare invoices, complete reconciliations, organize financial documentation, and help prepare the records and information the Controller needs for financial reporting and month-end activities.

Beyond accounting, you'll also help tackle the administrative issues that come with running a growing industrial business—from shipping claims and carrier disputes to employee administration, regulatory paperwork and other operational matters.

This is a great position for someone who enjoys organization, problem-solving and getting things finished.

Working With Our Controller

A significant portion of this position will involve directly assisting CSC's Controller.

The Accounting & Administrative Coordinator will help the Controller maintain accurate and timely financial records by handling many of the day-to-day transactions, documentation and follow-up activities that feed into CSC's accounting and financial reporting.

Responsibilities will include:

Assisting the Controller with day-to-day bookkeeping and accounting administration
Preparing and issuing customer invoices
Assisting the Controller with Accounts Receivable (A/R)
Monitoring outstanding customer balances and following up on overdue accounts
Recording and matching customer payments
Assisting with Accounts Payable administration as required
Performing bank and credit-card reconciliations
Assisting the Controller with monthly account reconciliations
Identifying discrepancies and working with the Controller to resolve them
Organizing invoices, receipts, statements and supporting documentation
Preparing accounting records and supporting information for review by theController
Preparing bi-weekly payroll and remittances
Ensuring transactions and supporting documents are properly recorded andorganized
Maintaining organized financial files and records
Communicating regularly with the Controller regarding outstanding items, discrepancies and required follow-up

The position is intended to support the Controller, not replace the Controller. You'll handle many of the transactional and administrative pieces while working under the Controller's direction and oversight.

Administrative & Operational Support

While accounting will be the primary focus, this person will also help take ownership of various administrative matters across the business.

Depending on the week, this could include:

Opening and following up on freight or shipping claims
Working with parcel companies and LTL carriers to resolve lost, damaged orincorrectly billed shipments
Investigating billing discrepancies and requesting credits
Following up with customers, suppliers and service providers
Assisting with employee documentation and administrative employment matters
Maintaining company records and documentation
Helping organize regulatory and compliance documentation
Completing forms, applications and other business paperwork
Communicating with government agencies and outside organizations when required
Researching administrative issues and gathering information for management
Tracking outstanding administrative matters and following up until they're resolved

You don't need to be an expert in employment law, transportation regulations or regulatory compliance. What we're looking for is someone who is comfortable taking ownership of the administrative process—finding the right information, contacting the right people, documenting what has happened and keeping an issue moving toward resolution.

Who We're Looking For

This position would be a great fit for someone with bookkeeping or accounting-administration experience who enjoys being part of a small, growing business.We're looking for someone who is:

Highly organized and detail-oriented
Comfortable working with numbers and financial records
Experience with accounting / bookkeeping software is an asset
Familiar with basic bookkeeping and accounting principles
Experience with invoicing, A/R and account reconciliations is an asset
Able to prepare clean, organized records for review
Confident communicating professionally with customers and suppliers
Professionally persistent
Comfortable managing several outstanding items simultaneously
Able to work independently while knowing when to involve the Controller ormanagement
Naturally inclined to investigate discrepancies rather than simply pass them along
Comfortable learning new software and systems
Trustworthy with confidential business, employee and financial information

Previous experience in bookkeeping, accounting administration, Accounts Receivable, office administration or a similar role is strongly preferred.

Pay: $30.00-$35.00 per hour

Expected hours: 15.0 – 25.0 per week
