Full job description

Company Description Emergency Solutions International (ESI) is a Saint John, New Brunswick–based firm specializing in risk management support and strategic guidance for critical infrastructure and government organizations. ESI helps public and private sector partners with “All Hazard” emergency planning, preparedness, and risk assessment, using Capability Based Planning and clearly defined measures and metrics to ensure accountability. The company applies a cyclical Emergency Risk Management process to create sustainable, measurable solutions. With strong expertise in Incident Management Systems and Emergency Operations Centre management, ESI supports organizations during response and recovery phases and trains internal teams to manage emergencies more effectively. ESI also conducts regular exercises and evaluations of Emergency Response Plans at both tactical and strategic levels, including work with federal regulators.

Role Description The Administrative Clerk is a one-year contract position based in Saint John, New Brunswick, with the possibility of transitioning to a permanent position based on organizational needs and individual performance. Reporting to the Chief Administrative Officer and receiving daily direction from the Operations & Finance Officer, this role provides comprehensive administrative and operational support to the Executive and Management team, helping ensure the efficient day-to-day operation of the office and the successful coordination of internal projects and client services.

The Administrative Clerk is responsible for preparing, editing, formatting, and maintaining a variety of business documents, reports, and client materials while ensuring records and filing systems are accurate, organized, and easily accessible. The role supports office operations by coordinating travel and logistics, maintaining office supplies, company uniforms, promotional materials, and inventory, and assisting with the preparation of presentations, certificates, name cards, and other administrative deliverables.

This position also provides technical and administrative support for virtual training and course delivery, including coordinating computer and audio setup, preparing course materials, and managing online platforms. Additional responsibilities include maintaining internal databases, supporting website and social media updates, and ensuring office procedures and documentation meet company standards.

Working closely with internal staff, leadership, clients, and external service providers, the Administrative Clerk plays a key role in supporting organizational efficiency through strong communication, attention to detail, sound organizational skills, and a proactive, service-oriented approach. The role also performs other related administrative and operational duties as assigned.

Qualifications

Excellent verbal and written communication skills, including ability to effectively communicate with other ESI team members and clients
Excellent computer proficiency (Word, Excel, PowerPoint, Prezi, Teams, Sharepoint, etc.)
Must be able to work under pressure and meet deadlines, while maintaining a positive attitude
Show high initiative to self-teach, particularly new technologies such as software applications and office equipment
Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices
Community College or University degree
Experience with Wordpress, Beaver Builder, or similar would be an asset
Experience with social media marketing programs such as Facebook, Instagram, LinkedIn, X, Hootsuite, Kajabi, Active Campaign would be an asset
Proficiency in English a requirement
Proficiency in French considered an asset
