Overview
We are seeking a highly organized and proactive Executive Assistant to support one of the firm's Partners. This role requires a resourceful professional who thrives in a fast-paced, cilent-focused environment and brings exceptional attention to detail, sound judgment, and ability to manage multiple tasks efficiently. Prior office experience and familiarity with the financial services and/or legal industries are highly valued.

Duties

Manage and maintain executive calendars using Microsoft Outlook Calendar to coordinate meetings, appointments, and travel arrangements
Prepare, proofread, and edit correspondence, reports, and presentations ensuring accuracy and professionalism
Handle incoming calls with excellent phone etiquette; direct inquiries appropriately
Support client meeting preparation, including agendas, materials, and follow-up actions
Assist with bookkeeping tasks utilizing QuickBooks and perform basic financial recordkeeping
Provide exceptional customer service to clients and visitors at the front desk or reception area
Utilize office experience to streamline workflow processes and improve overall office efficiency
Maintain confidential records and support special projects

Skills

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
Experience with QuickBooks for bookkeeping and financial management
Strong organizational skills with the ability to prioritize tasks effectively
Excellent typing speed and accuracy for data entry tasks
Demonstrated clerical and administrative experience in an office setting
Exceptional proofreading skills to ensure error-free documents
Knowledge of multi-line phone systems and front desk operations
Ability to manage calendars efficiently using Microsoft Outlook Calendar
Strong communication skills with professional phone etiquette
Experience with office tools such as filing systems, data entry, and document management software
Legal or financial industry experience an asset
