Full job description

The Accounting Assistant provides essential administrative and clerical support to the Accounting Department. This role ensures the smooth day-to-day operation of accounting functions by coordinating internal communication, managing documentation and workflow processes, and assisting with a range of administrative duties.

Primary Job Responsibilities:

Administrative & Clerical Support

· Provide general administrative assistance to the Controller and Assistant Controller.

· Prepare agendas and take meeting minutes for department and stand-up meetings.

· Coordinate office supplies for the accounting department, including Staples orders.

· Manage incoming and outgoing mail twice daily and prepare cheques for mailing.

· Maintain departmental records, files, and correspondence in an organized and confidential manner.

· Track postage costs for all properties and prepare related reports.

· Organize department social events and maintain the accounting bulletin board.

· Serve as a backup for reception as needed.AR and collections procedures.

Departmental Coordination & Workflow

· Manage the workflow and communication for remote employees, including scanning and sending invoices or supporting documentation.

· Support accounting technicians by assisting with document organization, filing, and basic transactional processing.

· Assist with audits by preparing requested documentation and maintaining organized audit files.

· Support WCB reporting and submission processes as directed.

Data & Document Management

· Prepare and distribute routine reports and forms as directed by the Assistant Controller.

· Assist with electronic banking tasks such as downloading bank statements and preparing cash deposit records.

· Help maintain accurate and up-to-date department records, reconciliations, and applications (PAP, TIPPS, chargebacks, etc.) under supervision.

· Ensure completeness of daily trust and clearing account reconciliations for Controller review.

Key Competencies:

· Strong organizational skills with excellent attention to detail and accuracy.

· Proficient in Microsoft Office Suite (Excel, Word, Outlook); familiarity with Yardi or other accounting software is an asset.

· Strong written and verbal communication skills.

· Ability to handle confidential information with discretion and professionalism.

· Collaborative team player with a proactive and adaptable approach to work
