Key Responsibilities
- Welcome and support patients with warmth, professionalism, and efficiency
- Manage phone calls, emails, scheduling, and patient communication through Jane App
- Coordinate appointment flow and assist in maintaining an organized clinical schedule
- Process billing, payments, insurance claims, and administrative documentation accurately
- Support clinic operations and day-to-day workflow management
- Maintain confidentiality and professionalism in all patient interactions
- Assist with administrative projects, organization, and operational improvements as needed
- Collaborate closely with practitioners and leadership to support a positive clinic environment
- Contribute to a clean, organized, and welcoming clinic atmosphere
Qualifications & Attributes
Required
- Minimum 1–2 years of experience in administration, reception, customer service, or a professional office environment
- Strong communication and interpersonal skills
- Excellent organizational abilities and attention to detail
- Comfortable learning and navigating technology and scheduling software
- Professional, reliable, and accountable
- Ability to multitask while maintaining composure and accuracy
Preferred
- Experience in a healthcare or wellness setting
- Familiarity with Jane App or similar EMR/scheduling software
- Experience managing billing, payments, or insurance workflows
- Strong problem-solving and critical-thinking skills

- Pelvic Floor Physiotherapy for both male and female patients, supporting prenatal and postpartum recovery, pelvic pain, incontinence, prolapse, post-surgical rehabilitation, core dysfunction, and other pelvic health concerns.
- Vestibular Physiotherapy helping patients experiencing dizziness, vertigo, balance concerns, concussion-related symptoms, and vestibular dysfunction.
- Dance Physiotherapy providing assessment, rehabilitation, injury prevention, and performance support for dancers and performing artists.
- Trigger Point Dry Needling (TPDN) as part of evidence-informed physiotherapy treatment for pain, muscle tension, mobility restrictions, and neuromuscular dysfunction.
- Massage Therapy provided by registered massage therapists with training in anatomy, physiology, pathology, remedial exercise, mobilizations, and therapeutic massage techniques to support recovery, mobility, and overall wellness.
- Shockwave Therapy supporting the treatment of chronic pain conditions, tendinopathies, plantar fasciitis, calcific tendon conditions, and soft tissue injuries.
- Lifestyle Medicine and PhysioYoga integrating movement, mobility, breathing, strength, mindfulness, and nervous system regulation into rehabilitation and wellness-focused care.
- Counselling Services supporting mental wellness, emotional health, stress management, and whole-person care.
