Job Summary

We are seeking a detail-oriented and organized Office Administrator/Bookkeeper to join our team. This role is essential in maintaining smooth office operations, managing financial records, and providing exceptional customer service. The ideal candidate will have strong administrative skills, proficiency in accounting software like QuickBooks, and experience working in a professional office environment. This position offers an opportunity to contribute to a dynamic team while utilizing your clerical and bookkeeping expertise.

Duties

Manage day-to-day office operations, including front desk responsibilities and multi-line phone systems
Perform data entry and maintain accurate records using Microsoft Office and Google Workspace tools
Handle bookkeeping tasks such as invoicing, accounts payable/receivable, and bank reconciliations using QuickBooks
Assist with filing, document management, and proofreading correspondence for accuracy and professionalism
Provide excellent customer service by addressing inquiries and supporting clients or patients as needed
Support administrative functions including scheduling appointments, managing calendars, and preparing reports
Maintain organized files both electronically and physically to ensure easy retrieval of information
Support medical or dental office functions if applicable, including patient check-in/check-out and insurance documentation

Requirements

Proven clerical or administrative experience with strong organizational skills
Proficiency in QuickBooks, Microsoft Office Suite (Word, Excel, Outlook), and Google Workspace applications
Experience with data entry, filing systems, and proofreading documents
Excellent customer service skills with professional phone etiquette and the ability to handle multi-line phone systems
Strong computer skills with the ability to learn new software quickly
Prior experience in medical or dental office settings is a plus but not required
Ability to manage multiple tasks efficiently while maintaining attention to detail
Demonstrated organizational skills with the ability to prioritize workload effectively
Typing speed of at least 50 words per minute with accuracy

This position is vital for ensuring efficient office operations and delivering outstanding support to clients and team members. We value professionalism, reliability, and a proactive approach in our staff.

Pay: $25.00-$30.00 per hour
