Full job description

Location: St. Albert

Position Summary

Beacon Glass Products Ltd. is looking for a reliable, organized and detail-oriented Accounting & Office Administrator to support our accounting department and day-to-day office operations.

This role is ideal for someone with hands-on accounts payable or accounting administration experience who enjoys taking ownership of their work, solving routine problems independently, and learning additional accounting responsibilities.

This is not strictly a data-entry position. We are looking for someone who can manage recurring responsibilities, follow established processes accurately, recognize when something doesn’t look right, and follow an issue through to resolution.

The successful candidate will initially focus heavily on Accounts Payable and office administration, with the opportunity to take on additional accounting and billing responsibilities as they become proficient in the role.

Key Responsibilities

Accounts Payable

Take day-to-day ownership of the AP inbox and vendor invoice workflow
Review invoices for appropriate approvals, pricing, taxes, dates and supporting documentation
Enter approved invoices accurately into company systems and Sage 50
Review vendor statements and investigate discrepancies
Identify and apply vendor credits and available early-payment discounts
Prepare accurate payment packages for management approval
Maintain complete and organized AP records
Respond to routine vendor inquiries and follow outstanding issues through to resolution
Perform a final accuracy and completeness review of work before submitting it for approval

Credit Card Reconciliation

Reconcile company credit-card transactions monthly
Collect and match receipts and supporting documentation
Follow up independently with employees for missing documentation
Ensure transactions are coded accurately and appropriately approved
Identify discrepancies and work to resolve them

Billing & Service Department Support

Prepare invoices for completed service work orders
Review billing information for completeness and accuracy
Communicate with internal staff to obtain missing or unclear information
Assist with monthly project progress billing
Prepare and organize supporting billing documentation
Develop increasing responsibility for routine billing processes as experience grows

Office Administration

Take ownership of routine office administration and help ensure the office operates smoothly day to day, including:

Maintain office supplies, kitchen supplies and other recurring inventory
Greet visitors from the reception desk
Maintain organized electronic and paper records
Assist with office systems, including phones and alarm systems
Identify routine office needs and address them without requiring ongoing reminders
Assist with general administrative duties as required

Able to review their own work and catch errors before submission
Comfortable taking ownership of responsibilities rather than waiting for individual task assignments
Interested in learning and taking on additional accounting responsibilities over time

Required Qualifications

Minimum 1–2 years of hands-on accounting administration and/or Accounts Payable experience
Working knowledge of basic accounting concepts, including GST, vendor credits, invoice approvals and account reconciliation
Strong computer skills, including Microsoft Excel and Outlook
Strong written and verbal communication skills
High school diploma or equivalent

Assets

Sage 50 experience
Previous experience preparing payment runs
Credit-card reconciliation experience
Billing or progress-billing experience
Experience working in construction, manufacturing, glazing or another project-based environment
