The Opportunity
We are seeking an experienced Human Resources and Client Services Coordinator to support the delivery of recruitment, human resources, and client services.
Approximately 80% of the role will focus on recruitment, HR coordination, client service, and HR project support. The remaining 20% will support marketing, business development, and internal operations.
This hands-on role is well suited to a highly organized professional who communicates effectively, takes initiative, and can confidently manage multiple priorities in a fast-paced, client-focused environment.
Key ResponsibilitiesRecruitment and Candidate Sourcing
- Coordinate recruitment processes, including drafting job postings, reviewing applications, conducting screening interviews, and coordinating interviews.
- Source active and passive candidates using LinkedIn, Indeed, Boolean searches, professional networks, databases, and other recruitment tools.
- Prepare candidate profiles, interview summaries, and recommendations for clients.
- Maintain timely and professional communication with candidates and clients throughout the recruitment process.
- Maintain accurate candidate records, recruitment trackers, status updates, and follow-up activities.
HR Support and Client Service
- Communicate directly with clients and provide professional, responsive, and reliable service.
- Coordinate client meetings, timelines, project plans, follow-ups, and deliverables.
- Prepare client-ready emails, reports, presentations, meeting summaries, templates, and HR documentation.
- Support the development and implementation of foundational HR programs, including onboarding, orientation, performance management, employee handbooks, workplace policies, job descriptions, compensation reviews, employee engagement, and training initiatives.
- Support employee relations and performance-management documentation under the guidance of a senior HR consultant.
- Conduct HR research and summarize findings in clear, practical language.
- Maintain organized and confidential client files, HR trackers, project records, and employee documentation.
Marketing and Business Development
- Maintain accurate client, prospect, and business-development information in the firm’s CRM.
- Support the preparation of proposals, presentations, service descriptions, and prospective client communications.
Qualifications and Experience
- A bachelor’s degree in Human Resources or Human Resources Management is required.
- Three to five years of relevant experience in human resources, recruitment, talent acquisition, HR coordination, or a similar position.
- Proven experience managing or supporting recruitment processes from job posting through candidate selection.
- Strong experience sourcing candidates through LinkedIn, Indeed, Boolean searches, databases, professional networks, and other recruitment methods.
- General knowledge of Ontario employment practices and the Ontario Employment Standards Act; experience with other provincial jurisdictions are a bonus.
- Experience participating in the development or implementation of HR programs, policies, processes, or employee documentation.
- Intermediate or advanced proficiency in Microsoft Excel, including maintaining trackers, using formulas, organizing information, and presenting data clearly.
- Strong proficiency with Google Workspace, including Drive, Docs, Sheets, and Slides, and virtual collaboration tools.
- Experience using applicant tracking systems, HR information systems, project-management platforms, or CRM systems is an asset.
- Experience using artificial intelligence tools responsibly and effectively to support research, drafting, sourcing, analysis, and administrative efficiency.
- Excellent written and verbal communication skills, including exceptional business-writing and email etiquette.
- Strong professional judgment and the ability to handle confidential and sensitive information.
- A CHRP or CHRL designation, or progress toward an HR designation, is an asset.
- Professional proficiency in both English and French is a strong asset.
Working Arrangement
This is an independent contractor role that is primarily remote and based in the Greater Toronto Area. The selected contractor will be expected to attend occasional in-person meetings, anticipated to occur every other month or quarterly.
The contractor must be available to provide services daily, Monday to Friday, with core availability between 10:00 a.m. and 3:00 p.m. Eastern Time. Daily start and end times may vary, provided that client needs, meetings, interviews, and deadlines are consistently met.
The role is anticipated to require approximately 15 to 25 hours per week. Actual hours may vary from week to week based on business and client needs, and this estimate should not be considered a commitment to a minimum number of hours.
This position will begin as a six-month contract, with strong potential to transition into a permanent opportunity as the firm continues to grow.

The compensation for this role will vary based on the candidate’s experience, qualifications, recruitment expertise, HR knowledge, and ability to assume client-facing responsibilities.
