Job Summary

The Legal & Compliance Coordinator supports the Legal & Compliance team across Plaza Premium Group's Canadian portfolio, serving as the central coordination point for legal risk matters, including incident and claims management, employment-related legal matters, regulatory documentation, and external counsel support. This role serves as a central coordination point for legal risk matters arising from Canadian operations.

Key Responsibilities

Incident & Claims Management

● Coordinate intake, documentation, and tracking of guest and employee incidents, ensuring matters are logged, updated, and escalated to Legal & Compliance leadership in a timely manner.

● Support evidence preservation, file organization, and compilation of supporting records for claims, investigations, and legal review.

● Monitor open matters and follow up with relevant stakeholders to ensure timely responses and closure; prepare summaries and trend reports on incidents and claims for Legal & Compliance leadership.

● Support preparation and submission of matter-related documentation to internal stakeholders, insurers, and external parties as required.

Employment-Related Legal Matters

● Coordinate the legal aspects of employment-related matters, including workplace investigations, employment claims, and demand letters, in partnership with HR, operational leaders, and external counsel.

● Maintain confidentiality and documentation controls for employment disputes, disciplinary matters, and workplace investigations, compiling and organizing supporting records for legal review.

● Track case status, manage follow-up actions, and coordinate internal communications on active employment related legal matters.

● Maintain employment-related legal records in an organized, accurate, and secure manner consistent with legal recordkeeping requirements.

Regulatory & Airport Authority Support

● Coordinate responses to, and documentation requests from, airport authorities, regulators, landlords, and other external bodies.

● Track compliance deadlines, submissions, and required follow-up actions across Canadian operating locations.

● Maintain organized records of permits, correspondence, notices, and other regulatory documentation relevant to operations.

● Support audits, reviews, and compliance-related inquiries by gathering information and preparing supporting materials.

External Counsel Coordination

● Serve as the primary point of contact for coordinating with external legal counsel on assigned matters.

● Maintain litigation, claims, and legal matter trackers, coordinate document collection, status follow-up, and information flow between internal stakeholders and external counsel.

● Prepare periodic matter summaries and status reports to support Legal & Compliance leadership visibility and decision-making.

General Support

● Support process improvements, reporting enhancements, and documentation standardization across Legal & Compliance coordination activities.

● Provide support on ad hoc legal, compliance, and operational risk projects as assigned.

Qualifications

● Bachelor's degree in Legal Studies, Business, or a related field preferred.

● 3–5 years' experience in legal operations, compliance support, claims administration, or coordination of employment-related legal matters.

● Experience supporting sensitive workplace, regulatory, or incident-related matters with strong attention to confidentiality and accuracy.

● Familiarity with legal and employment-related documentation, claims tracking, records management, and issue escalation processes.

● Strong organizational and project coordination skills, with the ability to manage multiple matters, deadlines, and stakeholders simultaneously.

● Excellent written and verbal communication skills, with the ability to prepare clear legal and compliance documentation and follow up effectively with internal and external parties.

● Proficiency in Microsoft Office, including Excel, Word, and Outlook; experience maintaining trackers, logs, and reporting dashboards is an asset.

● Ability to work independently, exercise sound judgment, and handle confidential and privileged information with discretion.

● Knowledge of Canadian employment, privacy, or regulatory environments is an asset.

● Bilingual English/French strongly preferred
