As we continue to grow our legacy, we need a highly organized, meticulous professional to take ownership of our day-to-day financial transactions, payroll, and HR administration, while supporting ownership with crucial operational data.
The Role
As the Finance & HR Supervisor, you will lead the core back-office functions across both companies. Your primary mandate is to manage a small transactional team responsible for the day-to-day financial operations, ensure accurate payroll execution, and support ongoing human resources and recruitment workflows. You will act as the direct supervisor to our AP and AR clerks, reviewing their daily output and handling any complex escalations.
Additionally, you will play a critical supporting role in our management reporting. Operating within our ERP environment, you will be responsible for maintaining data integrity, assisting with physical audits, and systematically gathering the raw operational metrics that inform our business strategy. For the right candidate, this position offers valuable team leadership experience and a clear development path into advanced reporting over time.
Key Responsibilities
1. Financial Administration & Team Leadership
- Team Supervision: Manage, train, and oversee the daily workflow of the AP Clerk and AR Clerk, acting as their direct supervisor and first point of escalation for complex vendor or customer issues.
- AP & AR Oversight: Review the high-volume invoicing, payment scheduling, and ledger coding performed by the clerks to ensure absolute accuracy across both company files.
- Reconciliations & Expenses: Process daily bank deposits, manage cash drops, and act as the sole processor for confidential payables, including executive credit cards, HR-related invoices, and employee expense reimbursements.
- Tax & Compliance: Calculate and process all government remittances, ensuring accurate and timely payment of payroll source deductions, HST, WSIB, and corporate tax installments.
- Cash Flow Management: Monitor daily bank balances and prepare weekly accounts payable payment runs for executive approval.
- Foreign Exchange Management: Track exchange rate needs and draft foreign currency wire transfer recommendations for executive sign-off.
2. Operational Reporting & Auditing
- Data Collection: Track and input operational metrics across production, warehousing, logistics, and sales.
- Report Generation: Run pre-built weekly, monthly, and quarterly operational reports (e.g., mispicks, operational-fault credit memos, production waste) to supply leadership and external consultants with accurate data.
- Inventory Integrity: Participate in physical cycle counts and spot-check the warehouse floor to ensure system inventory matches physical reality.
3. Payroll & Human Resources
- Payroll Processing: Execute accurate bi-weekly and monthly payroll across diverse compensation structures. This includes tracking and verifying timesheets, overtime, and holiday pay for:
- Hourly staff (production, warehousing, and logistics)
- Salaried personnel
- Commissioned sales staff
- External agency contractors (including managing the associated billing cycles)
- Recruitment Support: Write and post job advertisements, screen initial resumes, and schedule interviews.
- Employee Lifecycle & Records: Handle all onboarding paperwork for all staffing, maintain accurate and confidential employee files (e.g., updating addresses, emergency contacts, compensation changes), manage benefits enrollment, track vacation accruals, and process formal offboarding documents.
- Performance Appraisals: Coordinate the annual review process by updating templates, calculating operational target achievement data for department leads, consolidating the final results, and presenting them to the leadership team.
- Government Programs & Immigration Administration: Research, apply for, and manage relevant government employment subsidies, grants, and temporary foreign worker programs. This includes owning the application and ongoing compliance for Labour Market Impact Assessments (LMIA).
What You Bring to the Table
- Experience: 3-5 years in a combined bookkeeping, payroll, and HR administrative role. Experience in a manufacturing, distribution, or blue-collar environment is a strong asset.
- Technical Skills: Strong proficiency in standard accounting software, major payroll platforms, and spreadsheet applications. A readiness to learn and adapt to comprehensive new ERP systems.
- Analytical Curiosity: You aren't just comfortable entering data; you care about what the data means and want to grow your skills in operational reporting.
- Extreme Attention to Detail: You take pride in finding the missing receipt, ensuring hours match perfectly, and keeping employee files strictly confidential.
- Languages: Fluency in Mandarin and/or Cantonese is required for seamless internal stakeholder collaboration across our business units.
Pay: $55,000.00-$60,000.00 per year
