About the Position

We are searching for a permanent Executive Assistant to join our team to support our senior leaders.

The starting salary will be determined based on a combination of skills, education, and experience. The salary range is $60,000 – $80,000 per year.

Key Ways this Position Makes an Impact

The Executive Assistant screens and prioritizes incoming correspondences, communicates with members of the executive team, key contacts, and union officials.

In this role you would manager assigned senior management meeting schedules and calendars, coordinating meetings, and preparing and submitting expense reports.

This role complies executive and board reports for senior management and prepares files (forms, templates, presentations) and data on departmental performance, resource allocation, budget status, and human resources and labour relations issues.

You would attend executive team, management, and other senior level meetings; taking minutes and following-up on action items.

The Executive Assistant would coordinate the smooth flow of information and determining appropriate courses of action for escalating and addressing urgent matters.

Key Experiences You Bring to this Role

Post-secondary coursework in an administrative program or relevant field (e.g., Business Administration)

4 – 7 years of related experience.

Demonstrated ability to maintain confidentiality at all times, and to apply appropriate judgement in handling and managing sensitive information, particularly data affecting employees, legal filings, human rights and discrimination, long term planning and resource allocation, organizational restructuring, and personal information.

Demonstrated attention to detail.

Demonstrated proficiency in MS Office software, including Outlook, Word, Excel, and PowerPoint.

Excellent organizational and collaboration skills.

Excellent written, interpersonal, and verbal communication skills.

Excellent time management skills.
