Position Title: Administrative Assistant

Program /Team: Administration and Finance

Hours of Work: Permanent Full Time - 35 hours p/w Monday to Friday

Bargaining Unit: Unionized (BCGEU)

Salary: $25.95 per hour – Grid 10, Step 1

Location: Topaz Avenue, Victoria

Department Overview – Administration and Finance

The Administration and Finance department at the Garth Homer Society plays a key role in ensuring organizational stability and efficiency in support of our mission to empower individuals with diverse abilities. The team, led by the Director of Finance Administration, oversees financial management, budgeting, human resources coordination, and administrative operations. We are committed to transparency, ethical standards, and regulatory compliance through accurate financial reporting, effective resource stewardship, and streamlined administrative support. Guided by our values of integrity, accountability, and collaboration, we promote teamwork and communication to uphold inclusion, respect, and dignity across the organization.

Position Overview – Administrative Assistant

The successful applicant for this position will provide reception, administrative, general office, and support services to the Society. They will track office and programme expenditures, generate reports from various information sources and databases, and complete ad hoc administrative tasks as required. This position is based in the reception area at 923 Topaz and operates independently from the rest of the Finance and Administration department.

Skills and Abilities

Successful applicants will demonstrate excellent computer skills, strong interpersonal and organizational abilities, and the capability to prioritize tasks effectively while working both independently and as part of a team.

Education and Knowledge:

Grade 12 completion, plus completion of up to (3) year in secretarial, business administration and/or office management program, and/or
Three years general office experience that includes secretarial, reception and clerical functions,
Experience relating to individuals with developmental disabilities would be an asset.

Training and Experience:

Three (3) years recent, related experience
Experience working with Human Resource protocols
Experience working with individuals with developmental disabilities, an asset
Experience with cash management
High level of proficiency with MS Office Suite
Proficient with Sharevision, an asset
Proficient with data management
An equivalent combination of education, training and experience may be considered

Knowledge, Skills, and Abilities

Excellent computer skills
Excellent communication skills
Excellent interpersonal skills
Excellent organizational skills
Ability to prioritize urgencies
Ability to work independently, and amongst a team
