Full job description

Key Responsibilities:Front Desk & Office Management

Greet and assist clients in person and over the phone, creating a welcoming environment.
Maintain office cleanliness, organization, and overall presentation.
Manage office inventory - order, restock, and organize supplies as needed.
Oversee client intake and documentation.
Plan and coordinate office events, meetings, and community initiatives (e.g., fundraisers, sponsorships, grand openings etc).

Phones & Client Coordination

Manage inbound and outbound calls; handle voicemail messages promptly.
Schedule client appointments and follow up as required.
Call anniversary and high-interest-rate clients to schedule reviews or updates.
Coordinate bookings for agents and team members.

Administrative Support for Management

Completing compliance and documentation requirements on sensitive timelines.
Manage invoices, payments, and other administrative tasks as requested by management.
Keeping Files and associated tasks up to date on a daily basis.

Minimum Requirements

Full-time, in-office availability — this role is not remote.
Reliable transportation is required.
1–2 years of experience in a receptionist, administrative, or office support role (experience in real estate, finance, or mortgage industry is preffered).
Strong communication skills — professional, friendly, and confident when speaking with clients. Strong english is
Exceptional organization and time management -able to manage multiple priorities and meet deadlines.
Proven multitasking ability — comfortable handling calls, scheduling, and administrative duties simultaneously.
Proficient with Apple MAC computer skills, technology and CRM requirements, as well as office software (Microsoft Office, Canva, Zoom, etc.).
Social media savvy — familiar with platforms like Facebook, Instagram, and LinkedIn.
Positive, proactive attitude with the ability to work independently and as part of a team.

Job Type: Full-time

Pay: $20.00-$25.00 per hour
