Job Overview

Alcor Elevator Ltd. is seeking a dependable, highly organized Administrative Assistant / Service Coordinator to join our busy office team.

This is a fast-paced, central role that supports our field staff, office team, clients, and daily service operations. The successful candidate will be responsible for answering incoming calls, dispatching service requests, coordinating parts and inventory, maintaining accurate records, and ensuring information is communicated promptly and professionally.

We are looking for someone who takes initiative, remains composed when priorities change, and enjoys keeping people and operations organized. Previous elevator or construction-industry experience is an asset but is not required.

Key Responsibilities

Answer incoming telephone calls and respond to client inquiries professionally and courteously
Receive service requests, gather accurate information, and dispatch calls to the appropriate field personnel
Communicate service updates between clients, technicians, and office staff
Monitor open service calls and follow up as required
Support office and field staff with daily administrative and operational needs
Order parts, materials, tools, and office supplies
Track orders and follow up with suppliers regarding pricing, availability, and delivery
Receive parts and maintain accurate inventory records
Assist with purchase orders, work orders, service documentation, and data entry
Prepare correspondence, reports, spreadsheets, and other documents
Assist with scheduling and coordinating technicians or service appointments
Help maintain accurate customer, job, and equipment information
Complete additional administrative duties as required

Qualifications

Previous experience in an administrative, customer-service, dispatch, or office-support role
Strong telephone communication and professional customer-service skills
Excellent organization and attention to detail
Ability to prioritize multiple tasks in a busy, deadline-driven environment
Ability to remain calm and professional when handling urgent service calls or changing priorities
Strong written and verbal communication skills
Proficiency with Microsoft Outlook, Word, and Excel
Comfortable learning new software and internal systems
Accurate data-entry and record-keeping abilities
Ability to work independently while contributing to a team environment
Reliable attendance and a strong work ethic

Assets

Experience with service dispatching or coordinating field technicians
Experience in the elevator, construction, mechanical, or skilled-trades industry
Experience ordering parts and managing inventory
Experience working with purchase orders, work orders, or service-management software
Familiarity with technical terminology or equipment-based service operations

Compensation: $22.00 per hour
