This is an ideal opportunity for someone who enjoys bringing people together, thrives in a fast-paced environment, and loves keeping the details organized behind meaningful events and initiatives.

About the Role:

Reporting to the Manager of Events & Philanthropy, this role provides essential administrative and coordination support across our events and philanthropy work, with a particular focus on the Big Sisters Soirée and its auction. The ideal candidate is highly organized and detail-oriented, keeping items, donor details, and logistics on track so the team can focus on strategic priorities. Your strong administrative skills will directly contribute to the success of the Soirée and our ability to steward and connect with donors.

What you will be doing:

SOIRÉE GALA EVENT & AUCTION SUPPORT

Connect with potential auction donors and partners.
Organize and track auction items and donor details.
Coordinate logistics for auction item collection, packaging, and display.
Support guest registration, ticketing, and on-site event coordination.
Assist with preparation of event materials.
Assist in tracking stewardship activities for donors, sponsors, and partners

FUNDRAISING & DONOR SUPPORT

Assist with donor communication processes, including drafting thank-you letters, general correspondence, and maintaining donor records with accuracy and care.
Support data entry and database management, ensuring accuracy, consistency, and integrity of donor information.
Support research on corporations, foundations, and potential funding sources.
Draft internal and external fundraising correspondence as needed.
Produce donor lists, mailing lists, and campaign statistics.
Assist with various projects as needed to support the philanthropy and events team.

What you bring:

1–3 years of administrative or fundraising support experience, ideally in a non-profit environment.
Experience with donor or CRM databases; familiarity with Raiser’s Edge or similar systems is an asset.
Strong organizational and time management skills.
Intermediate to advanced proficiency in Microsoft Office Suite.
Experience supporting fundraising events is an asset.
An equivalent combination of education, training, and experience (including volunteer and international experience) will be considered.
Strong written and verbal communication skills, with strong inter-personal and inter-cultural skills and an ability to relate to a wide variety of stakeholders from diverse lived experiences.
Ability to understand, communicate, and support the mission, vision, and values of the organization.

This Position:

This is a full-time, 4-month contract (35 hours/week) ending mid-December, based in our Vancouver office located on Joyce Street directly across from the Joyce SkyTrain station. The role requires working five days per week, with a minimum of four days in the office. Some daytime travel, as well as occasional evening and weekend work, may be required. Flex time or lieu time will be provided to accommodate any additional hours.
