Position Title: Production & Parts Manager

The Production & Parts Manager is responsible for coordinating the daily flow of collision repairs and overseeing the complete parts process at Simplicity Car Care Calgary South. The role ensures vehicles move efficiently through each stage of repair, the correct parts are available when required, quality standards are maintained, and production commitments are achieved. Working closely with the General Manager, estimators, technicians, painters, customer service team, suppliers, and insurance partners, the Production & Parts Manager helps deliver safe, timely, and profitable repairs while supporting a positive customer experience.
Specific responsibilities include the following:
Plan, schedule, and coordinate the daily production workflow from vehicle intake through final quality control and delivery.
Review the work-in-progress (WIP) list each day, establish repair priorities, and assign work based on technician capacity, skill level, parts availability, and promised completion dates.
Lead daily production meetings and communicate repair status, delays, priorities, and required actions to the General Manager and shop team.
Monitor every repair stage, identify bottlenecks early, and take corrective action to keep vehicles moving through the shop.
Coordinate vehicle teardown and blueprinting to ensure damage is identified, documented, and communicated before repairs proceed.
Work with estimators to confirm approved repair plans, supplements, labour requirements, sublet work, and insurer requirements.
Manage the parts process from initial order through receiving, inspection, mirror matching, storage, distribution, returns, credits, and invoice reconciliation.
Order the correct OEM, aftermarket, recycled, and miscellaneous parts in accordance with the approved estimate, repair procedures, insurer requirements, and Company standards.
Track outstanding and backordered parts, maintain accurate expected delivery dates, and escalate supply issues that may affect production or customer commitments.
Inspect received parts for accuracy, condition, and completeness before assigning them to a repair; immediately resolve incorrect or damaged parts with the supplier.
Maintain an organized and secure parts area, ensuring all parts are clearly labelled, protected, and assigned to the correct repair order.
Ensure parts invoices, credits, returns, purchase orders, and vendor documentation are accurate and submitted within required timelines.
Monitor parts gross profit, return rates, freight charges, discounts, and vendor performance; identify opportunities to reduce cost without compromising repair quality or safety.
Build and maintain productive relationships with parts suppliers, dealers, recyclers, sublet vendors, and rental partners.
Confirm required repair procedures, tools, equipment, materials, and parts are available before work is assigned.
Support technicians and painters by removing production obstacles and ensuring work is transferred between departments efficiently.
Monitor cycle time, touch time, key-to-key time, repair-versus-replace performance, supplement activity, labour efficiency, parts performance, and on-time delivery results.
Ensure all repairs follow OEM repair procedures, insurer requirements, Simplicity Car Care standards, and applicable safety and quality requirements.
Coordinate in-process and final quality control inspections and ensure identified deficiencies are corrected before vehicle delivery.
Provide the customer service team with accurate repair status updates and promptly communicate any change that may affect the delivery date.
Assist the General Manager with staffing, training, coaching, workload planning, and performance management for production and parts team members.
Promote a safe, clean, organized, and respectful workplace and ensure team members follow Company health and safety policies and procedures.
Support inventory counts, month-end reporting, vendor reviews, operational audits, and continuous improvement initiatives.
Protect customer, employee, insurer, supplier, and Company information and use Company systems and property responsibly.
Perform other duties reasonably associated with the position or assigned by the General Manager.
Experience and Knowledge
Three to five years of experience in collision repair production, parts management, body shop operations, or a closely related automotive role.
Previous supervisory, team-lead, or workflow-coordination experience is preferred.
Strong working knowledge of the collision repair process, including blueprinting, body repair, refinish, reassembly, quality control, and vehicle delivery.
Demonstrated experience ordering, receiving, tracking, matching, returning, and reconciling automotive parts.
Knowledge of OEM repair procedures, alternative parts usage, insurer guidelines, and safe repair requirements.
Experience using collision management and estimating systems; familiarity with platforms such as Mitchell, Audatex, CCC, or equivalent systems is an asset.
Ability to read and understand estimates, supplements, repair orders, invoices, purchase orders, and production reports.
Strong planning, prioritization, problem-solving, and follow-up skills in a fast-paced environment.
Ability to lead daily workflow, communicate clear expectations, and work effectively with technicians, office staff, vendors, and customers.
Comfort using Microsoft Office, email, dashboards, and other digital workflow or reporting tools.
Strong attention to detail, sound judgment, and a consistent commitment to quality, safety, and customer service.
Valid driver’s licence and the ability to operate customer and Company vehicles as required.
The measures of success:
Vehicles are scheduled realistically and delivered on or before the confirmed completion date, with delays communicated promptly.
Daily production targets and Company benchmarks for cycle time, touch time, key-to-key time, and labour efficiency are consistently achieved or improved.
Parts are ordered accurately and on time, received and mirror matched before use, and available when technicians are ready to begin the related repair stage.
Parts gross profit meets budget, while incorrect orders, avoidable returns, duplicate orders, freight costs, and unresolved credits are minimized.
WIP is actively managed, aged repairs and production bottlenecks are reduced, and repair status information remains current and reliable.
Supplements are identified, documented, and submitted promptly, with minimal avoidable disruption to the repair schedule.
Repairs meet OEM, insurer, safety, and Simplicity Car Care quality standards, with low rework and comeback rates.
The production area and parts department remain clean, organized, secure, and compliant with health and safety requirements.
The General Manager, customer service team, and customers receive accurate and timely information regarding repair progress and expected delivery.
Vendor service, team accountability, customer satisfaction, and overall shop profitability demonstrate continuous improvement.
