Job Summary

We are seeking a dynamic and organized Receptionist/Admin Assistant to join our team! In this vital role, you will be the welcoming face of our organization, managing front desk operations and providing essential administrative support. Your energy, professionalism, and attention to detail will help ensure smooth daily operations, exceptional customer service, and efficient office management. Duties

Greet visitors and clients warmly, directing them appropriately while maintaining a professional and friendly demeanor
Manage multi-line phone systems with excellent phone etiquette, screening calls, taking messages, and transferring inquiries efficiently
Handle data entry tasks accurately using Microsoft Office applications, ensuring all records are up-to-date and organized
Perform clerical duties such as filing, photocopying, proofreading documents, and maintaining office supplies inventory
Support administrative functions including scheduling appointments, managing calendars, and coordinating meetings
Provide customer support by addressing inquiries promptly and professionally, ensuring a positive experience for all visitors and clients
Being able to assist with esthetics duty such as waxing and threading when needed will be considered a strong asset.
Experience using various direct billing portals for client billing is preferred but must be willing to learn.

Qualifications

Proven office experience with strong organizational skills and attention to detail
Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
Demonstrated computer skills including data entry, typing accuracy, and familiarity with multi-line phone systems
Prior clerical or administrative experience preferred; experience in healthcare settings is a plus
Excellent customer service skills with professional phone etiquette and interpersonal communication abilities
Ability to handle filing systems efficiently and maintain confidentiality of sensitive information
Strong organizational skills to manage multiple tasks simultaneously in a fast-paced environment
