Job Summary

Position Summary

We are seeking a sharp, organized, and reliable Front Desk Receptionist to join our main office team. You will be the face and voice of our company, managing high-volume phone calls from subcontractors, handling shipping logistics, and keeping our office running smoothly. If you thrive in a fast-paced environment and love the construction industry, we want to hear from you

Key Responsibilities

First impressions: Greet clients, subcontractors, vendors, and inspectors with a professional attitude
Call Routing: Manage a multi-line phone system, screen solicitations, and direct urgent site calls to Project Managers
Document Control: Sort incoming mail, log blueprints/submittals, and scan invoices into our project management software
Logistics Support: Coordinate incoming and outgoing shipments of tools, safety gear, and project documents
Office Upkeep: Maintain inventory of office and safety supplies, ensuring the front lobby remains clean and welcoming

Qualifications & Skills

Experience: Minimum 1-2 years of receptionist or administrative experience (Construction, industrial background is highly preferred)
Tech-Savvy: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with construction software (e.g., Procore, QuickBooks, or Sage) is a major plus
Communication: Exceptional verbal and written communication skills with a thick skin for a busy construction environment
Organization: Ability to multi-task, prioritize urgent requests from job sites, and remain calm under pressure
Reliability: Strong punctuality and dependable attendance are strict requirements Familiarity with multi-line phone systems and excellent phone etiquette skills
Professionalism: Excellent customer service skills with a friendly demeanor and professional communication style while also having the ability to handle sensitive information discreetly while maintaining confidentiality
